Position Summary

The Collections Accounting Specialist II is responsible to the Assistant Head of Collections for processing invoices, maintaining statistics, reconciling accounts, and working across a variety of platforms to generate and maintain financial data that informs collection management decisions. This position assists with oversight of the University Libraries materials budget by maintaining highly organized and detailed records to ensure accuracy, timely payment, and compliance with a variety of UGA policies and vendor agreements.

This position involves use of a P-Card.

  • General knowledge of accounting practices, receiving invoices, and processing payment information.
  • Advanced organization skills.
  • Ability to perform clerical tasks accurately with close attention to detail. Ability to establish and maintain effective working relationships.
  • Effective oral and written communication skills.
  • Ability to organize and prioritize activities.
  • Ability to effectively troubleshoot clerical problems.
  • Knowledge of modern office practices, procedures, and equipment.
  • Knowledge of word processing and web publishing software (i.e., Microsoft Word and Adobe Acrobat, etc.).

Inputs accounts payable and deposit accounts payable transactions into the Integrated Library System (Currently Alma Ex-Libris) for both encumbered and unencumbered payments, ensuring that details of transactions are correct and accurately reflected across systems.

Ensures timely action and appropriate tracking of various payment processes by keeping detailed and organized records, using spreadsheets, and documenting workflows.

Serves as P-Card reconciler by ensuring all receipts and preapproval forms are correctly uploaded to BOA Works in a timely manner.

Assists with the training and coordination of staff and student assistants in maintaining Acquisitions paid invoice files and approving daily invoice batches in Alma for payment.

Liaises with unit heads, Libraries finance team, and UGA Finance and Administration to manage financial record keeping, assisting with the resolution of payment processing problems.
