Job Title: Compliance Specialist Job Summary

The Compliance Specialist is responsible for assisting with the development and implementation of compliance related initiatives for the organization. Monitors activities as assigned by Chief Business Strategist and General Counsel for compliance with applicable rules and regulations.

E ssential Job Functions

  • Oversees compliance of Conflict-of-Interest process by reviewing and updating the policy and procedure as needed, auditing and ensuring forms are completed and filed for all employees upon hire and annually. Reviews and reports all disclosures to Director of Compliance or other Department Heads as necessary, obtains written approval and stores with disclosure.
  • Oversees Contract Management System including staff training, bi-weekly audits to ensure movement of contracts, works with IT on customization, accessibility, and maintenance of software program, ensures Contract Manager Workshop is performed annually.
  • Keeps current the Business Associate Agreement in accordance with laws and regulations, sends revised form for signature to contractors/vendors and adds newly executed version to contract record.
  • Oversees annual Contract Review to ensure all departments certify they have contracts and accompanying documents in place where needed, that all are signed and uploaded to contract management system, and expired or terminated contracts are noted as Inactive.
  • Maintains and updates Compliance and Ethics Manual.
  • Prepares and distributes Demand Letters upon request and logs on grid.
  • Maintains grid with MJH owned cemetery plots and assigns spaces upon request after approval by General Counsel.
  • Oversees annual Policy Review by performing audit to ensure Department Heads have signed Annual Department Policy Certification Form attesting to completion and reports non-compliance to Director of Compliance. Reviews Legal & Compliance Department policies and assists other departments with policy creation and revisions. Coordinates Policy meetings if needed.
  • Reviews and updates compliance training PPTs, courses and online education as necessary; ensures staff completion and reports non-compliance to Director of Compliance.
  • Maintains and assists in creating and revising contract templates and other contractual documents and provides to staff upon request.
  • Oversees monthly Sanction and Preclusion Check process, ensures reports are received in a timely manner, reports matches, and maintains electronic copies.
  • Provides individual or departmental training where necessary on Compliance & Ethics program.
  • Responsible for inventory of Code of Conduct and assists in its review, revision and distribution.
  • Responsible for inventory and placement of Compliance Hotline Posters around facility and off-campus sites, including annual audits to ensure proper and ample placements.
  • Responsible for inventory and distribution of Compliance Hotline wallet cards.
  • Assists Director of Compliance and Ethics Officer with annual Compliance & Ethics Week by sending communications, placing orders, scheduling Open House, and creating banner for Sharepoint.
  • Sends annual compliance survey to MJH Board of Directors, shares responses with Director of Compliance, and ensures storage of same.
  • Conducts Compliance Exit Interviews upon request, completing questionnaire with staff responses, and provides copy to Director of Compliance.
  • Helps manage Compliance Hotline upon request, documents when complaint is received directly and works and provides copy to Director of Compliance. If warranted, works with Department Heads to resolve.
  • Works with Chief Business Strategist on strategic planning projects, providing Staff Confidentiality Forms and NDAs, logging project fees on grid and distributing to appropriate parties, arranging campus visits for contractors, etc.
  • Prepares, submits, and follows up on SAP Annual Report submission.
  • Completes and processes Business and Entertainment form and Travel Reimbursement form for department.
  • Assists with educational rounds on floors.
  • Gathers necessary documentation and/or information for attorneys related to requests for production and interrogatories, maintains storage of all.
  • Schedules staff interviews and depositions with attorneys and Risk Management Consultant, requests checks when cases settle for an MJH payout.
  • Distributes subpoenas and summons' upon receipt and ensures all affected departments have and follow Policy.
  • Prepares and E-files court documents when necessary.
  • Checks creditor case statuses monthly on court site and provides updated grid to General Counsel prior to Private Pay meetings.
  • Schedules Compliance Committee meetings, distributes materials in advance, and ensures new attendees sign Confidentiality Attestation prior to attending. At meetings, takes attendance, transcribes, and maintains minutes of Compliance Committee meetings.
  • Initiates annual review of Compliance Committee Charter.
  • Maintains and keeps current entities visual chart.
  • Tasked with logging vault inventory and resolving distribution of items.
  • Coordinates onboarding of new hires within the department, including completing Equipment & Access Form and ordering equipment/supplies.
  • Maintains department tasks and processes with periodic updates.
  • Reviews/reconciles invoices and expenses, gets approval, codes and routes appropriately.
  • Assists with preparation of FY budget for department.
  • Maintains and keeps current corporate documents for department.
  • Prepares and edits correspondence, communications, presentations and other documents.
  • Collects and maintains monthly changes to Guardianship cases for nursing home and ALF.
  • Reconciles and processes monthly corporate credit card statement.
  • Monitors, responds to and distributes incoming communications.
  • Prioritizes and follows through on daily tasks and issues in a timely manner.
  • Files and retrieves documents and reference materials.
  • Answers and manages incoming telephone calls and inquiries.
  • Completes special projects as assigned.
  • Schedules appointments and maintains daily schedule.
  • Processes supplies and equipment orders.
  • Arranges and coordinates meetings and events for the department.


Job Requirements

Education:

  • Bachelor's degree or equivalent combination of education and experience


Experience:

  • Four to seven years of related experience preferred.
