Job Duties

The Virginia Department of General Services, Division of Engineering and Buildings (DEB) is responsible for the administration and enforcement of the Virginia Uniform Statewide Building Code as it relates to buildings on state property for developing state policies and procedures on the procurement off professional and construction services and for establishing accessibility standards for state buildings.

We are currently seeking a Construction Document Administrator to provide high quality administrative support services to both, DEB's internal staff and to the divisions state and non-state customers. The incumbent must work both independently and as part of a team to accomplish a varied assortment of duties including:
• Performs quality control of architectural and engineering drafting in BlueBeam Studio by affixing errors and adding necessary links as required to prepare electronic documents for review.
• Assists in developing and implementing DEB procedures for electronic documents records retention.
• Assists in managing records retention for DEB's electronic documents, which includes drawings, specifications, and calculations for the State Building Official function.
• Assists Electronic Library Manager (management of library)
• Performs and oversees DEB's electronic construction document preprocessing.
• Serves as the point of contact to provide technical guidance to outside agencies to format electronic documents in accord with DEB standards.
• Performs uploading and cross linking of documents between BlueBeam, BITS, and SharePoint.
• Evaluates, classifies, and logs incoming documents through Capout mail in accord with DEB policies.
• Assigns work tasks in BITS to architectural and engineering reviewers in accord with DEB policies.
• Manages and coordinates electronic signing and recording of outgoing electronic Building Official approved sets.
• Performs other duties as assigned.

This position may be eligible for up to 2 days of telework per week after 6 months of satisfactory performance.

Minimum Qualifications

• Experience in use of menu-driven computer programs to enter and manage data and compile and print reports is required.
• Knowledge and experience in the use of electronic document management systems.
• Knowledge and experience in the use and application of databases to include verification of accuracy of data, input of data, and creating reports.
• Experience in inventorying and requisitioning supplies.
• Experience in records management.
• Knowledge of the records disposition process. Training in, or familiarity with, the Commonwealth's records administration policies, procedures, schedules and guidelines is desirable.
• Ability to properly and professionally answer telephone calls and receive visitors and to direct calls and visitors to proper office personnel.
• Ability to review documents for key classification data.
• Skill in use of personal computer, copiers, printers, and multi-function devices.
• Ability to prioritize and schedule assigned workload to meet both normal completion schedules and special deadlines established by the supervisor.
• Ability to use word processing software to produce written documents.
• Ability to communicate effectively orally and in writing.
• Knowledge of use of word processor and architectural/engineering terms is desired.
• Must be physically capable of handling moderately heavy building plans on a regular basis
• Must have good interpersonal skills.
• Valid Virginia driver's license is required as duties may require incidental individual travel (e.g., to attend training seminars or taking DEB's assigned vehicle to Fleet for service).

Additional Considerations

Familiarity with design and construction documents is desirable.
Experience with BlueBeam and/or eVA software is preferred.
