TK Elevator is currently seeking a Contract Administrator to join our team in Atlanta, GA.

Responsible for booking and preparing New Construction and Modernization Contract documents for execution; includes entering data in Oracle and View systems, using M-Files for bookings. pre-review of contract, issuing certificates of insurance, using Appian for cancellations and view customer setup. Must establish & maintain a professional rapport through timely response to customers, both internal and external.

ESSENTIAL JOB FUNCTIONS:
  • Read & understand contractual requirements for preparing NI & MOD contracts for processing to determine what the terms are for retainage, PPE, and also check contract price along with correct owner & bill to information.
  • Contract Administrators are required to keep notes on all construction jobs in Oracle overlay and Excel spreadsheet so that a history is maintained for all jobs regarding booking efforts.
  • Complete pre-qualification bid documents for all tk branches for the US Business unit.
  • Pre-review contract for entire contract,exhibits, correct contract price,and proposal.
  • Responsible for reporting Contactor Controlled Insurance Program (CCIP) for US business unit.
  • Mange and complete customer setups in Oracle for all VIEW branches within 2 hour SLA
  • Utlize View and Oracle to book MOD jobs for all VIEW branches in US business unit.
  • Coordinate approval driven by Sales from business leaders as required by approval matrix.
  • Communicate with senior management at facotry regarding required approvals for product discount rates.
  • Enter all data requirements to ensure accurate master data and revenue projections for NI & MOD for US business unit.
  • Maintain customer data base for all New Install and Modernization jobs.
  • Confirm Project Setup, enter all monies, unit details for each unit indiviually and verify key members along with project dates for every job.
  • Verify and Baseline all Revenue and Cost Budgets for construction jobs to ensure accurate revenue forecasting.
  • Utilization of Pronet to prepare accurate timely release of equipment to supplier in accordance with contract schedule.
  • Assist in internal and external audit process.
  • Communicate with branches, sales, factory, and management regarding any issues with jobs being processed.
  • Communicate the booking progress to the Corporate Contract Anaylst, Branch, District, and Regional personnel
  • Prepare monthy booking report for VP's
  • Use M-Files system to process, review, and book jobs.
  • Issuance of certificates of insurance
  • Utliize Appian to assist with NI & MOD job cancellations.
  • Provides timely responses to all internal and external e-mail correspondence and point to point contact calls

EDUCATION & EXPERIENCE:
  • Associate degree or equivalent professional experience is required.
  • A Bachelor's Degree or equivalent hours of college-level coursework plus professional experience is preferred.
  • At least 2 years of experience that is directly related to the duties and responsibilities specified.
  • Requires the ability to understand general arithmetic, speak and write in a clear and understandable manner for internal/external relations.
  • Understand complex verbal and written instructions.
  • Understand data processing applications.
  • Prioritizing and multi-tasking, working well under pressure while paying close attention to detail to meet month-end deadlines.
  • Experience working in a business-to-business environment with the ability to read and understand contract language and use this knowledge in negotiation with customers.
  • Ability to handle sensitive information, maintain a high level of data entry accuracy, and adhere to strict deadlines is essential.
  • Individual will be able to display effective interpersonal skills with all levels of employee, as well as the ability to communicate positively and effectively, verbally and in writing
  • Must have strong computer skills, especially MS Outlook, Word, and Excel
  • Able to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Able to deal with problems involving several concrete variables in standardized situations.
