JOB SUMMARY:

Responsible for handling all internal and external catering events and requests through direct interaction with clients.

MAJOR RESPONSIBILITIES:
  • Coordination of Events informational flow through all UO Departments. Typing all information on Banquet Event Order form and distributing to several departments to ensure all areas involved have complete information regarding upcoming events. Hand walking BEO's that are short term that Chef and Restaurant Managers need for staffing and food preparation. Storing & uploading all documentation in shared location. Maintain filing system for all events.
  • Responsible for securing all restaurant private rooms, VIP Lounge and conference rooms for all UO Departments for groups of 5 through groups of 500 for breakfasts, lunches, meetings, dinners, and receptions.
  • Utilizes MS Word, Excel and Access to analyze, compile, update and maintain Weekly, Monthly, and Yearly Forecast reports and daily revenue reports. Creates presentations and materials for special projects using MS PowerPoint, Publisher and other computer programs. Support Catering Managers and Assistant Managers as directed to include ensuring proper staff levels for events. Data entry to process inventory recaps for all events using Eatec Solutions program.
  • Coordinating all meetings concerning the execution of events. This involves attending the weekly Banquet Event meeting to answer any questions that might arise about all events as well as communicating with Restaurants and Production Kitchen to coordinate functions. This requires continual contact from securing space to discussing menu options to confirming the number of guests. This also requires determining price of menus appropriately. This employee will work directly with Catering Managers and Event Management to coordinate special menu themes with props, linen, and floral.
  • Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.

SCOPE:

Responsible for handling all internal and external catering events.

EDUCATION:
  • High school degree or GED is required.
  • Technical school is preferred.
  • Associate's degree (AA) is preferred.

EXPERIENCE:
  • 1-3 Years: Previous catering and/or administrative experience preferred.
  • Minimum 1 Year Customer Service experience preferred.
  • Detail oriented, organized, high sense of urgency, and track record of managing multiple priorities to desired results.
  • Ability to work alone when required, but also as part of an overall team to ensure business needs are met.
  • Knowledge of Delphi Systems helpful but not mandatory.
  • Knowledge of all set up styles (classroom, theater, banquet) required; or equivalent combination of education and experience.
