General Description: The Coordinator of Enrollment Management and Scheduling position creates, implements, and promotes strategic enrollment management planning leading to student goal attainment for NOVA Online. The Coordinator works collaboratively with NOVA Online, Dual Enrollment, Campus Deans, and Partner Institutions on goal setting/planning, strategic scheduling (analysis of enrollment trends, schedule development, faculty assignments, faculty load), faculty engagement and Shared Services Distance Learning statewide scheduling of online classes. This position is eligible for 100% telework.

Duties and Tasks:
  • Provides support to Director of Online Instruction and Statewide Delivery, Division Deans, and Associate Deans/Department Chairs, in developing a student responsive class schedule including current and future online modalities.
  • Develops and promotes effective communications and promotion of programs/course offerings to students, prospective students, partner college, and communities.
  • Supports Director of Online Instruction and Statewide Delivery and Division Deans and Associate Deans to implement online programs and course offerings to meet student demand for courses.
  • Provides leadership for engaging campus/college stakeholders to increase awareness of enrollment trends and initiative and communicates with the Quality Assurance and Instructional Design Teams on faculty training and course development needs.
  • Calculates faculty loads and pro-rations based on Course Funding Ratios and communicates with faculty and deans.
  • Works in tandem with the Director of Online Instruction and Statewide Delivery, Division Deans and Associate Deans/Department Chairs to establish, implement, and evaluate strategic enrollment policy, goals, plans and strategies.
  • Coordinates NOVA Online enrollment management strategies including setting enrollment targets, and developing a draft of course offerings for each semester with number of sections per campus, class sizes, highest enrollment achieved previously, etc.
  • Oversees NOVA Online schedule entry into SIS and communicates course schedules and schedule changes with faculty and deans.
  • Serves as the NOVA Online super-user of the college’s scheduling and analytics software (Ad Astra).
  • Coordinates the NOVA Online scheduling process and oversees the integrity of the schedule entered in the Student Information System ( SIS ).
  • Coordinates SSDL (Shared Services Distance Learning) enrollment and works with Liaisons from 22 VCCS partner colleges. Trains the SSDL liaisons in use of SIS and duties of the position.
  • Serves on the Schedulers of Classes Work group, Calendar Work group, SSDL Liaisons group, and other work groups that may work with enrollment and scheduling as needed.
  • Reviews and analyzes data to inform decision making, assesses effectiveness of enrollment management.
  • Runs queries and daily enrollment reports and class counts and formats into readable reports.
Special Assignments
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

Required Qualifications:
  • Experience with data analysis and making data-driven recommendations.
  • Experience with preparing reports.
  • Experience in MS Office, advanced Excel skills, and Google Sheets.
  • Experience in project management (e.g. setting timelines, coordinating with others to meet deadlines, etc.)
