Job Duties

The Correspondence Management Department (CMD) is the centralized mail processing division for Virginia Workers' Compensation Commission (VWC) and Virginia Victims Fund (VVF). The department has three teams that are critical to daily operations at the Commission: Inbound Mail, Outbound Mail, and Document Management. Each team supports CMD's mission of providing exceptional services through stakeholder engagement and correspondence management by delivering world-class customer service using modern solutions.

The CMD Print and Mail Production Supervisor manages the daily printing, insertion, and shipping operations of a high-volume production mailing environment. Responsibilities include partnering with mailing, shipping, and printing vendors to address machinery and delivery challenges; ensuring efficient and accurate packing, shipping, and delivery of all Commission correspondence and packages; creating shipping and receiving reports; and performing database research and data entry as needed. The CMD Print and Mail Production Supervisor also conducts performance reviews for the Outbound Mail Team and ensures that employee training and development initiatives are carried out.

VWC Compensation Structure

Virginia Workers' Compensation Commission is an independent agency which allows us to have a more competitive and unique pay structure. This position is a pay grade 7 based on a 14 grade pay structure. Our positions are not classified under DHRM's pay bands.

Telework Structure

Our agency is currently using a hybrid model for teleworking. Our positions at this time are not 100% teleworking. All candidates would be expected to report to our Headquarters/Regional Office as requested. Telework scheduling is at the discretion of the Manager based on the business needs of the department. Upon hire, candidates should expect to have all training and orientation conducted at the Headquarters Office.

Minimum Qualifications
  • Supervisory experience including training, coaching, and developing employees required.
  • Hands-on experience working in a fast-paced, high-volume production mailing environment that includes printing, insertion, and shipping responsibilities.
  • Demonstrated ability troubleshooting both mechanical and technical issues with commercial inserter machines and high-volume production printers.
  • Demonstrated ability to lead and motivate a team of employees in a fast-paced, goal-oriented environment.
  • Working knowledge of PDF manipulation and Microsoft Office applications including Word, Outlook, Excel, and PowerPoint; data entry and retrieval from database programs; and Internet research.
  • Effective organizational, analytical, and verbal and written communication skills.
  • Demonstrated ability to manage multiple tasks with strong attention to detail.
  • Ability to apply a wide range of USPS rules and regulations essential to correspondence management.
  • Experience operating pallet jacks and high-production inserter machines and printers.
  • Ability to frequently lift up to 50lbs required.
Additional Considerations
  • Knowledge of Virginia Workers' Compensation Commission business processes preferred.
