Purpose:
As the Customer Service and Operations Assistant, you will provide exceptional customer service to Ross School of Business students, faculty, staff, and visitors by phone, email, online systems and in-person. You will also oversee the student receptionists for the main entrance. You will report directly to the Operations Manager.

Responsibilities*

Customer Service & Administrative Support 30%
  • Assist the Operations Manager in developing and preparing departmental guidelines, procedures, and reference materials.
  • Answer and route incoming calls, attending to the needs of visitors and callers.
  • Act as a backup for the Event Coordinator by managing room reservations in the Ross Room Reservation System.
  • Manage correspondence in the Ross Facilities and Operations email accounts, responding to or coordinating customer requests with the Operations department.
  • Place service calls for office equipment and general office maintenance.
  • Collaborate with multiple departments, students, staff, and faculty.
  • Coordinate with Facilities Supervisors to address customer requests.
  • Assist faculty with academic class and exam scheduling.
  • Maintain a database of frequently requested information.
  • Partner with other departments and campus partners to address inquiries and share relevant updates.

Welcome Desk Oversight & Reception 40%
  • Train and assist with scheduling and orientations for student receptionists.
  • Provide exceptional customer service to visitors, donors, faculty, staff, and students.
  • Handle last-minute room reservations and booking requests.
  • Assist faculty and Ph.D. students with collecting and distributing exams.
  • Direct visitors to designated locations.
  • Manage the business school's lost and found system, including logging and categorizing items and assisting with item reclamation.

Facilities, Mail & Event Support 30%
  • Support events and student activities throughout the business school complex.
  • Monitor and verify the condition of classrooms, conference rooms, study rooms, and common areas.
  • Assist Facilities Assistants with inspecting, maintaining, and cleaning public spaces to ensure they are presentable.
  • Participate in campus-wide meetings or committees.
  • Inspect and tidy furniture in the Winter Garden area.
  • Report damages or maintenance needs.
  • Serve as a backup for the mail room and reservation coordinator.
  • Respond to medical, fire, and tornado emergencies, and engage with public safety.


Required Qualifications*

  • A high school diploma or equivalent.
  • 2+ years Administrative assistant or customer service work experience (internships and student employment count).
  • Data entry experience.


Additional Information

The general posting range for this position is $39,000 - $43,000. You can expect to be paid a great compensation package. Factors used to determine salary include experience, knowledge and skills for the position. You are encouraged to discuss salary questions to honor agreement and transparency throughout the recruiting process. Selected candidates whose start date is after April 1st will be eligible for the annual salary program in September 2025, if offered.
