Position Requirements

Purpose of Your Job Position:

Responsible for gift processing/recording for the Carmelite Sisters and all Carmelite sponsored Apostolic Centers and provide on-going assistance to Data Resource Coordinator in maintaining, updating donor database.

Qualifications and Education Requirements:
  • Demonstrated proficiency in Microsoft Office Suite, particularly in Excel and usage of mail merge and basic formulas
  • Fluently read, speak, write, and understand English
  • Experience in financial operations, donation processing and record keeping (within a nonprofit setting) preferred.
  • Excellent working knowledge of Microsoft Office (Outlook, Word, Excel, Asana, OneNote, Slack, Teams, and Adobe Acrobat)
  • Excellent working knowledge of Raiser's Edge
  • Keyboard entry at 50 wpm minimum

Duties and Responsibilities

General
  • Performs general clerical duties including, but not limited to, responding to correspondence containing routine inquiries, creating/modifying documents
  • Supports staff in assigned project-based work
  • Coordinates, maintains, files, and retrieves organizational documents, records, and reports
  • Assist with general upkeep of office space
  • Follows all policies and procedures established for employees of the Carmelite Sisters


Raiser's Edge Database
  • Coordinate Generalate and CS Foundation donation process
  • Receive, accurately enter data and digitally archive donations (including in-kind) and file receipts accordingly for Carmelite Sisters and sponsored Apostolic Centers
  • Ensure the integrity of new and existing data through regular data checks and cleaning
  • Follow up with lapsed monthly recurring / pledge donors
  • Perform data entry and data cleanup in the Raiser's Edge database accurately and in a timely manner
  • Work closely with Data Resource Manager to ensure proper gift and donor entry
  • Assist in all other Raiser's Edge event entries
  • Personalize donor acknowledgement letters and assist with donor acknowledgement process as needed.
  • Promotes database growth by actively promoting policies for gathering contact information from donors
  • Assist with other duties and assignments as requested by the Data Resource Manager
  • Maintain and update organization knowledgebase on Raiser's Edge


Working Conditions
  • Will need to sit and/or work on computer for extended periods of time
  • Is subject to frequent interruptions
  • Must be able to travel locally as needed

  • Complete annually at least 15 hours of continuing education to improve technological skills and knowledge.
  • Strong written and verbal communication skills, with the ability to articulate the mission of the Carmelite Sisters and demonstrate a strong understanding of the Catholic faith (added this for donor communications)
  • Ability to troubleshoot data issues, conflicts and discrepancies
  • Meticulous attention to detail and ability to analyze reports.
  • Ability to learn donor database systems
  • Ability to handle confidential and sensitive information with discretion


Physical and Sensory Requirements
  • Must be able to see, hear or use prosthetics that will enable these senses to function adequately to assure that this position's requirements can be fully met.
  • Must be able to push, pull, and move a minimum of 50 pounds to a minimum distance of 50 feet.
  • Must be able to lift a minimum 25 pounds alone and a minimum of 50 pounds in partnered lifting to a minimum height of 5 feet.
