Job Summary
The Marsal Family School of Education is seeking an Administrative Assistant to join our Dean's suite. You will have primary reception responsibilities, welcoming visitors, answering questions, and play a central role in the functioning of the office. You will provide comprehensive administrative support to the Associate Dean for Research and Graduate Studies, the Associate Dean for Undergraduate Education and Educator Preparation, and the Assistant Dean for K-12 Recruitment and Special Projects. You will report to the Assistant to the Dean, Michele Semones.

The Marsal Family School of Education is seeking an Administrative Assistant to join our Dean's suite. You will provide comprehensive administrative support to the Associate Dean for Research and Graduate Studies, the Associate Dean for Undergraduate Education and Educator Preparation, and the Assistant Dean for K-12 Recruitment and Special Projects. Responsibilities*
- Provide a high-level of varied administrative and customer service support for the Marsal Family School of Education's Dean's Office
- Serve as the first point of contact for the front office, providing continuous, in-person coverage of the dean's suite reception desk
- Support the work of the Associate Dean for Undergraduate Education and Educator Preparation
- Support the work of the Associate Dean for Research and Graduate Studies
- Support the work of the Assistant Dean for K-12 Recruitment and Special Projects
- Provide backup support to the other administrative support staff in the Dean's Office
- Provide support for the office's signature events and meetings
Tasks include:
- Greet visitors with professionalism and diplomacy, including interaction with faculty, staff, students, donors, members of the general public and the campus community; and provide information, directions and answers to inquiries.
- Ensure the reception area is tidy and stocked.
- Handle mail for the Dean's suite, route materials, order supplies.
- Manage calendar and schedule appointments, often coordinating calendars of other faculty and staff for meetings.
- Support committee work which includes: compiling, organizing and providing background materials for meetings; taking notes during meetings; securing appropriate meeting sites; and assisting with refreshments and technical equipment as needed.
- Manage the logistics of small to medium-sized projects for the assigned deans.
- Handle all travel arrangements.
- Compile receipts for reconciling select accounts, Pcard and other travel/hosting expenses using Chrome River and Shared Services as appropriate.
- Handle communications, logistics, and all relevant activities related to guest presenters for teacher education-related events.
- Serve as a liaison with the Rackham Graduate School and other units on campus.
- Generate email communications to send to faculty, staff and students and those external to the university.
- Assist in the preparation of presentations, including charts and graphs.
- Manage grant competition submissions.
- Organize and maintain paper and digital files.
- Provide logistical support for courses.
- Additional duties, as assigned.
Required Qualifications*
- Experience supporting executive level positions.
- Ability to work independently, set priorities, and meet multiple deadlines.
- Exceptional organizational skills with the ability to anticipate problems and take appropriate initiative.
- Outstanding verbal, written, and interpersonal communication skills.
- Demonstrated competence in writing and editing documentation for diverse audiences. Experience setting priorities and adapting as priorities shift.
- Positive examples of collaborative experience.
- Ability to be discrete with private information.
- High level of proficiency with technology and software (Word, Excel, PowerPoint, Access, Google Suite, Adobe Acrobat, Zoom).
Desired Qualifications*
- 3+ years supporting an administrator in an academic setting
