The College and Graduate School of Arts and Sciences at the University of Virginia seeks applications for a Department Manager to be responsible for the administrative and business operations of the Institute of the Humanities and Global Cultures (IHGC) as well as for a portfolio of burgeoning new centers, institutes, and/or initiatives as they emerge and establish footprints at the University , starting with the Islamic Worlds Initiative (IWI). This is a unique opportunity for a flexible, organized finance and administrative professional who will thrive in a scholarly environment and help facilitate exploration into multiple aspects of the arts and humanities.

The Department Manager will supervise an experienced administrative coordinator, whose responsibilities include event planning for the units, and will report to the Director of the IHGC. Other key relationships will be with the Directors of the IWI and other emerging units, and with divisional and functional leaders in the Dean's Office.

The Department Manager supports the day-to-day operations of the units in the following areas:

Administration
  • Serve as a lead advisor to the unit head and collaborate to ensure seamless day-to-day operations for faculty, students, staff, and visitors to the department.
  • Supervise, coordinate, and participate in planning and development activities for the unit to ensure smooth and successful support of business operations.
  • Formulate internal procedures and guidelines for unit activities, including the business of the unit, such as academic administration.
  • Evaluate effectiveness of business systems and processes. Recommend improvements to enhance efficiency.
  • Coordinate space use and facilities planning.
  • Represent the unit on business affairs across Grounds through a variety of forums.
Budget & Finance
  • Develop and prepare budgets and financial reports for general appropriations. Annual expenditures generally are in the hundreds of thousands to a few million dollars.
  • Undertake general financial reporting to ensure budgetary control and responsible fiscal oversight. Maintain the budget throughout the year, with ability to share year-to-date progress with stakeholders.
  • Manage internal controls.
  • May coordinate pre- and post-award activities between faculty and a research administrator.
Human Resources
  • Coordinate and participate in a variety of human resources activities including recruitment, writing job descriptions, compensation analysis, employee relations, and answering HR process questions.
  • In conjunction with the unit head, build and maintain a strong inclusive and welcoming culture for all students, faculty, and staff. Advocate for a customer service mindset when interacting with all constituents.
  • Supervise staff direct reports and assist the unit during the annual performance management cycle.
Academic and Community Engagement
  • Provide student-facing support, which can include administering funding, hiring and supervision, as well as oversight of the Digital Humanities Certificate.
  • In conjunction with unit head, build and maintain a community around a shared appreciation and support of the arts and humanities.
In addition to the above job responsibilities, other duties may be assigned.

Minimum requirements:

Education: Bachelor's degree
Experience: Four years of increasingly responsible management and administrative responsibility is required. Two years of supervisory experience is required. Relevant exempt level experience may substitute for a degree.
Licensure: None

Preferred experience and qualifications:
  • Experience in a support capacity in an academic environment and a willingness to take on new initiatives as they arise.
  • Experience developing and managing budgets and ability to produce, interpret, and share regular financial reporting from existing financial systems.
  • Ability to manage multiple tasks in a fast-paced, demanding and complex environment while remaining flexible and collegial.
  • Ability to work well as a team member, as well as independently with minimal supervision.
  • Preferred Computer Applications: Microsoft Word, Outlook, Excel, Adaptive and SIS (Student Information System)

The Institute of the Humanities and Global Cultures is the humanities center at the University of Virginia and the anticipated home of the Arts & Sciences Digital Humanities Initiative, including the Certificate in Digital Humanities. This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally requires traveling some distance to attend meetings, and programs.

This position is located in Charlottesville, VA, and is primarily an on-site role. A limited amount of hybrid work may be available dependent upon the needs of the department and the incumbent's performance.
