Job Duties

Job Summary - Pre-Court Deputy Clerk Data Entry (Grade 8) The City of Richmond Juvenile and Domestic Relations District Court seeks a self-motivated individual for the position of Pre-Court Deputy Clerk. The Pre-Court Clerk is primarily responsible for entering relevant data into the Juvenile Case Management System (JCMS) and for processing required court documents, records, and papers. The Pre-Court Deputy Clerk will be authorized to sign and issue routine court documents (summons, subpoenas, Guardian ad Litem (GAL) and attorney appointment sheets, etc.) that strictly comply with statutory regulations. Follows established court guidelines and office procedures. Ensuring all court orders are accurately prepared and provided to the necessary parties. Ensures that information on the case is updated in the Juvenile Case Management System and scanned into the Juvenile Imaging System (JDIS). Assumes additional responsibilities on a temporary basis other than those primarily assigned to the position as required by the Pre-Court Supervisor, Chief Deputy Clerk, or the Clerk of Court

Essential Duties & Responsibilities - Answers customer inquiries via the call center. Provide customer service to internal and external customers by answering questions (not giving legal advice) where appropriate and referring to the appropriate agencies. Return phone calls and provide information to the public and other agencies in a timely, professional manner. Enters petitions, motions to amend (civil, delinquency, adult and support), warrants, show causes, etc. per established procedures and protocol. Schedules cases to the courts' docket using appropriate and scheduling task types, per proper procedures. Summons all required parties to court. Prepares paperwork for the appointment of attorneys or GALs. Enters all Emergency Removal (ERO); Preliminary Removal (PRO) and Preliminary Child Protective Orders (CPOs) as needed when the duty docket is assigned to the respective courtroom. Ensures that paperwork is scanned into the Juvenile Imaging System (JDIS) to ensure data quality and integrity. Places appropriate files in Court Mediator's box for review. Stays current on filing of paperwork (service returns, mail, etc.). Processes change of address and confidentiality request. Handles time-sensitive requests/processes with a sense of urgency. Assist with the court's yearly statutory expungement process (i.e., pulling files, removing papers and re-filing files). Provides back-up to co-workers as needed and as appropriate.

Minimum Qualifications

Minimum Qualifications/Experience - High School Diploma or equivalent is required. Excellent data entry skills and attention to detail are necessary in this position. Favored applicants will be able to work independently, as well as part of a team, and manage changing priorities. The most competitive applicants will have some court experience. Applicants should possess strong initiative and be able to complete tasks with minimal supervision independently and within a team. Individual must be detailed oriented, highly accurate and excellent at follow-up while juggling multiple tasks in a fast-paced office. Discretion and integrity while working with highly sensitive and confidential matters is imperative.

Additional Considerations

Physical Requirements: Lifting up to 30 lbs., bending/stretching to retrieve files.
