The Operations team includes the customer service facing teams within the Office of Development including Communications, Events, Finance and Administration, Gift Finance, and Stewardship. This Development Assistant position supports our front desk reception as well as other Development teams as assigned. You would work both independently and proactively to execute assigned projects with strong attention to detail, provide backup coverage for reception, and support other administrative assistants as needed. This position is required to work onsite daily (see Work Locations below) but will have occasional opportunities for remote work.

Responsibilities*

Operations Support (65%)
  • Gift Finance & Handling: Participate in DART gift fund coding projects, date and stamp incoming gifts received through US mail, execute monthly audit of internal gift log, provide calendar year-end and major campaign gift processing support as requested.
  • Stewardship: Support regular mailing projects by mail merging letters and envelopes, printing and hand-signing correspondence with donors, and stuffing and stamping envelopes. Scan documentation including letters, impact reports, and other documents as requested and link each to the appropriate constituent in the donor database.
  • Operations: Manage timekeeping for all bi-weekly and monthly employees in our office.

Reception Desk Coverage (25%)
  • Provide reception desk coverage when receptionist is out of the office.
  • Manage main phone line, handle courier deliveries, receive/distribute daily US mail, monitor staff use of business parking passes, and order office supplies.

Administrative Assistant Coverage (10%)
  • Provide administrative coverage for assistants who are on leave for Departments in our office as needed.
  • Facilitate submission of P-Card receipts and hosting documentation for Chrome River report preparation.
  • Coordinate travel, hosting, and event related activities including travel arrangements and itineraries, securing venues, ordering refreshments, running reports, and other development duties as necessary.

Required Qualifications*
  • High school diploma or equivalent
  • More than two years of office support/receptionist experience. (Intermediate level)
  • More than four years of progressively responsible administrative support experience. (Senior level)
  • Proficient with Microsoft Office Suite (Word, PowerPoint, Excel, etc.).
  • Excellent verbal, written and organizational skills with demonstrated attention to detail.
  • Proven ability to use discretion and maintain a high level of confidentiality.
  • Ability to work flexible hours with occasional weekend and evening work, as necessary.
  • Demonstrated customer service excellence.
  • Ability to work well independently as well as collaboratively within a team setting.
  • Demonstrated excellent attendance and reliability.
  • Candidate must have access to reliable internet.

Desired Qualifications*
  • Bachelor's Degree or equivalent combination of education and administrative support experience.
  • Experience with generating reports from a variety of databases.
  • Timekeeper experience.
  • Previous fundraising experience.
  • Familiarity with University of Michigan and the Michigan Medicine organizational structure.
  • Experience with Zoom or other virtual meeting platforms.
  • Familiarity with development reporting systems.

Work Locations

The onsite location for this position is the 777 Building. Free, on-site parking is provided for staff.

Background Screening
