Position Summary: The Document Management Administrator leads a team of employees whose activities are related to managing the life cycle of Company's regulatory records. Supports a broad range of document management, records organization, information gathering and synthesizes tasks. The goal is to ensure the preservation of corporate records, reduce risk, increase productivity, and reduce costs as it relates to corporate records management.

Schedule: M-F // 8am-5pm // On-site daily

Essential Duties:
  • Supervise a team of full-time and temporary employees to maintain the Company's document management systems and processes.
  • Serve as the subject matter expert for the development and implementation of the organization's physical and electronic regulatory records management processes.
  • Participate in various initiatives working closely with Quality, Compliance, Operations and IT to incorporate functional and technical standards and controls for the creation, receipt, maintenance, use, and disposal of company regulatory records and information into each project, where applicable.
  • Work closely with key partners to implement controls for safeguarding company information and records.
  • Collaborate with management on projects and initiatives to mature the DMS program, leading many of the efforts independently with minimal supervision.
  • Responsible for assisting with managing and enforcing the associated records management policies, guidelines, procedures, notices and standards.
  • Develop and contribute to training materials in partnership with Compliance, Quality, Operations and IT. Also conducts training and informational presentations to inform and educate staff as required.
  • Maintain the company regulatory record inventory for all physical and electronic records, coordinating the updates with the respective business owners on a periodic basis. Conduct monitoring exercises to validate compliance with the policy and to identify possible risks, remediation plans, and resolution activities.
  • Take initiative to complete the daily operational activities and coordinate with the other team members to meet effective team service levels. Remain responsive and provide direction and guidance to internal staff when seeking direction and input from DMS stakeholders. Consistent involvement with records management vendors to maintain service levels.
  • Remain well versed on information governance, records management, regulatory requirements, and privacy best practices to provide senior leadership with proposed recommendations when modifications are required to obtain compliance with any new or changed law, regulation or contract requirement.
  • Performs other duties as assigned

Position competencies:
  • Familiarity with records and information management practices, regulations, frameworks, and industry practices. Knowledge of healthcare operations is a plus.
  • Experience with identifying and assessing risk and ability to collaborate and influence positive change by identifying reasonable solutions.
  • Strong desire to learn, strong communication, facilitation, supervision, and relationship building skills.
  • Highly organized with excellent time management and related organizational skills, including appropriate sense of urgency, a proactive approach, and a suitable ability to anticipate and manage project lifecycle events, issues, and obstacles.
  • Experience with DMS Vendor Rubex a plus.
  • Healthcare Quality or Operations experience, and familiarity with those specific recordkeeping and privacy regulations, also a plus.
  • Prior records management experience in healthcare a plus, including familiarity with document management solutions and database management

Position Requirements:
  • Associate's degree and 3 years of information management experience preferred or at least 5 years information management experience.
  • Experience supervising a team.
  • 3 - 5 years of experience in health care, social services or a related industry preferred
  • Audit experience is preferred
  • Some experience in a large, fast-paced, results-driven, multi-site organization
  • Strong attention to detail and commitment to consistently producing high-quality, reliable work product in a timely manner.
  • Strong technical skills with ability to act as administrator for software programs (no coding required).
  • Must possess strong communication, written, interpersonal and organizational skills
  • Ability to work with varying levels of ambiguity; ability to react creatively amid challenging circumstances.
  • Proficiency in using Microsoft Word, Excel, and Outlook, required.
  • Ability to maintain confidentiality and discretion and exercise sound judgment as expected in a records retention, compliance and healthcare environment
  • Maintain positive internal and external customer service relationships
  • Represents the organization professionally at all times.
  • Ability to travel 25%, potentially
