Overview:

Document Management and Records Analyst

Oak Ridge National Laboratory (ORNL) is seeking a Document Management and Records Analyst to support our world class radioisotope production program.

The Isotope Science and Engineering Directorate's Document and Records Management group in the Nonreactor Nuclear Facilities Division seeks to hire a Document and Records Management Analyst to process, maintain, retrieve, and disseminate information in support of document control and records management activities. This role will interact with records analysts, records specialists, and other UT-Battelle staff members to ensure records management policies and procedures are appropriately followed and to help maintain records.

Major Duties/Responsibilities:
  • Analyze, assemble, archive, and retrieve documents, including management of controlled copy document binders in multiple locations.
  • Responsible for organization documents within the Enterprise Document and Records Management System (EDRM), including reserving and assigning document numbers.
  • Receive, file, and maintain all documents and records within EDRM or other recordkeeping system, as appropriate.
  • Coordinate mandatory document reviews and ensure appropriate disposition in EDRM.
  • Provide critical role for safety basis implementations with coordination of document development, review, approval, issuance, and distribution.
  • Manage the centralized document control center and provide and coordinate support for satellite records repositories, to include overseeing the conversion of facility hard-copy records to electronic and coordinating disposition of the hard copies.
  • Function as the records management officer (RMO) for the applicable organizations and act as a liaison between Records Management Services and organizational records owners/contacts to facilitate the implementation of records requirements,
  • Responsible for identifying, scheduling, maintaining, and dispositioning records in accordance with records management requirements.
  • Serve as the organizational contact for electronic recordkeeping to capture, declare, and disposition records in accordance with retention schedules.
  • Develop and implement process for converting hard-copy records to digital format in compliance with DOE requirements.
  • Responsible for appropriate and timely posting of NNFD documents andprocedures in support of overall NNFD website administration.
  • Support the creation and maintenance of various documents and perform independent reviews on procedures.
  • Provide document management guidance, training, and support to staff members, as needed.
  • Perform periodic assessments of records, record repositories, and controlled copy documents.
  • Assess effectiveness of document management tools and processes and make recommendations to achieve continuous improvement.
  • Perform the duties of the procedure writer for administrative procedures.
  • Serve as the document management coordinator (DMC) for supported organizations and attend DMC forums.
  • Handles sensitive information, such as proprietary and export control documentation.
  • Maintain a strong commitment to the implementation and perpetuation of values and ethics.
  • Ensures compliance with environment, safety, health, and quality program requirements.
  • Adjusts to changes and reprioritizing of work.
  • Displays excellent human relations skills and utilizes good oral and written communication.
  • Performs as a team member that has a high volume of activity, displaying characteristics of collaboration, flexibility, and dependability, while ensuring a high degree of accuracy.
  • Any other duties as assigned that are desired to meet the needs of the project.


Qualifications/Skills Required
  • BS degree in Business, English, Information Management, or related field and 2-4 years of experience with records management and document control activities, including indexing, scanning, tracking documents, performing quality checks, and distributing information; or an equivalent combination of education and experience.
  • Experience using Microsoft Office products including Word, Excel, and Adobe Acrobat Professional software.


Qualifications/Skills Desired
  • Experience in handling non-classified sensitive information.
  • Experience with document management and/or product lifecycle management software.
  • Writing and formatting procedures.
