New hires, re-hires, and internal hires will typically receive a starting salary between the posted minimum and the average pay of employees in their same classification. Offers will be commensurate with the candidate's experience and qualifications and will thoughtfully consider internal pay equity for agency staff who perform similar duties and have similar qualifications. The top half of the posted salary range is generally reserved for candidates who exceed the requirements and qualifications for the role. The maximum salary range is reserved for candidates that far exceed the required and preferred qualifications for the role.

This position is funded through August 31, 2026, with federal stimulus funds. Continuation of the position beyond that date is contingent upon available funding.

Position Overview

The Texas Education Agency (TEA) oversees the primary and secondary education of over 5 million students in Texas public schools by providing leadership, guidance, and support to school systems. Well-equipped agency employees are critical to ensuring local school districts, superintendents, and teachers are supported to ensure the Agency's Strategic Plan is successful in achieving our vision to prepare the public-school students in Texas for success in college, career or the military.

The Document Services Specialist (Document Services Technician III) plays a critical role in supporting the Agency Operations Division's daily oversight of agency operations and daily support activities. The position supports the agency's records and documents digitization processes and the daily operations of the agency's onsite copy center and publications, which supports all TEA divisions. The Document Services Specialist performs highly complex electronic document imaging and printing services work as part of the Agency Services unit. This position provides customer service and efficient and effective digitization and copy center operations. The Document Services Specialist works under general supervision with moderate latitude for the use of initiative and independent judgment.

The Document Services Specialist will work an in-person schedule Monday through Friday in our downtown Austin location and may occasionally work outside of normal business hours.

Essential Functions

Job duties are not limited to the essential functions mentioned below. You may perform other functions as assigned.

1. Agency Records and Document Digitization - supports the digitization of agency records and documents by sorting, organizing, and preparing documents for imaging; determines the correct format and proper equipment settings to produce clear, high-quality images; performs quality control of digitization by examining finished jobs to ensure adherence to standards

2. Agency Copy Center Support - supports the daily functions of the Agency Copy Center production to include all aspects of print production and poster/sign design, which includes supporting procedures, methods, and quality control for all job orders, maintaining production logs, preparing reports, and ordering supplies, and troubleshooting equipment problems and initiating corrective action

3. Agency Floor Printer Support - supports the maintenance of all agency floor printers, which includes maintaining an adequate store of consumable printer supplies and monitoring, reporting floor printer usage to secure quotes for updating printers as needed, and monitoring leases to verify meter readings for accurate monthly billing

4. Strategic Operational Support - provides strategic time-bound operational support to the Senior Director of Agency Operations and the Copy Center Coordinator, which includes assisting with developing and implementing user-centered business processes and resources to enhance and support internal communication and engagement in a hybrid work environment and other initiatives supporting agency staff



Qualifications:

Minimum Qualifications

• Education: High School Diploma or GED

• Experience: At least one year of experience operating digital imaging equipment and software, scanners, and bindery or reproduction equipment.

Other Qualifications

• Share the belief that all Texas students can achieve at high levels and are able to succeed in college, career, or the military

• A desire to self-reflect, give/receive feedback, and continuously improve

• Experience operating bindery, duplicating, and reproduction equipment and using a computer and applicable software

• Knowledge of the operation and maintenance of digital imaging equipment and scanners

• Knowledge of types, varieties, and uses of papers, inks, chemicals, developers, and fixers used in duplicating and reproduction equipment

• Knowledge of the operation and adjustment of duplicating and bindery equipment, as well as of computer operations and communication networks

• Ability to understand and follow operational instructions for scanners, digital imaging equipment, and their software

• Ability to effectively communicate to clients or program areas

• Ability to adapt to unexpected tasks and work in an environment requiring short turnaround times
