In accordance with the Agreement between the Detroit Association of Educational Office Employees (DAEOE) and the Board of Education of the School District of the City of Detroit, the following vacancy is announced.

Position Summary:

The ESE Intake Coordinator builds and cultivates relationships with a wide variety of internal and external stakeholders. Performs administrative and technical support functions such as support for operations and data reporting and analysis. The ESE Intake Coordinator is responsible for supporting significant cross-functional initiatives in a diverse and complex organization setting a nd contributes to the efficient operation of the work unit.

Minimum Qualifications:
  • Must possess and provide evidence of a High School Diploma or GED Certificate.
  • Minimum of five (5) years of clerical/administrative experience.
  • Must be p roficient in Microsoft Office Suite, Excel, PowerSchool and related software; preparation of documents; spreadsheets; PeopleSoft and web-based navigation.
  • Must possess good verbal, written, and interpersonal communication skills; ability to maintain a high level of confidentiality.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to details.
  • Ability to work independently and provide results.
  • Ability to relate positively with parents and articulate program policy and procedures.

Essential Functions
  • Provide technical assistance and administrative support to the Exceptional Student Education Early Intervention/Early-On team.
  • Cultivate and manage relationships, serving as a consultant and technical thought-partner to Early Intervention as they make research-based decisions about school, district, and reform efforts.
  • Record, track, and manage all records pertaining to department personnel vacancies, evaluations for students, communication with parents (written, electronic and in person), track timelines.
  • Provide technical support for data reporting and analysis; process evaluation reports management information into reports and spreadsheets for tracking, accountability, budgeting and payroll purposes.
  • Responds to and resolves administrative inquiries and questions.
  • Maintain records and implement reporting procedures in compliance with district, state, and federal requirements.
  • Assist with logistical and material resources for team meetings, workshops, and conferences.
  • Perform complex administrative and technical tasks for the Exceptional Student Education team, including those of a confidential nature.
  • Facilitate and initiate the processing and tracking of purchasing requisitions. Review work to ensure accuracy, completeness, and adherence to quality standards, policies, and procedures.
  • Maintain an accurate calendar of all departmental activities.
  • Maintain and track all incoming and outgoing department assessment protocols.
  • Maintain accurate incoming and outgoing files for current and previous students.
  • Guide parent during evaluation, review, annual and transition.
  • Monitor individual student's progress to enrollment.
  • Take corrective measures to enhance correct submission of documents.
  • Perform other Technical Level IV duties as assigned by the Assistant Superintendent or their designee.
