This is a hybrid role requiring one in-person day every Wednesday in Somerville at Assembly Row plus additional onsite days when needed

Under the general direction of the VP, Employee Relations and Labor Strategy, The Employee Relations and Labor Strategy Assistant will provide a high-level of administrative support to the Sr. VP of Employee Relations and Labor Strategy, the VP of Employee and Labor Relations and Labor Strategy and the members of the Employee Relations Labor Strategy (ERLS) team. Serves as the focal point for daily communication for staff who travel between sites throughout MGB. Responsibilities include processing of sensitive and confidential information; maintenance of records; using technology to analyze data and create reports as needed; and participates in on-going process and procedural improvements. The Employee Relations and Labor Strategy Assistant participates on projects and mid/large scale initiatives in support of customers and the ERLS COE with confidential and highly sensitive information. The ERLS Assistant establishes and maintains strong working relationships with the leaders, staff, and key contacts across the enterprise. The incumbent will exercise sound judgment, take initiative, and work effectively to independently/as part of a team to resolve and/or process a variety of ERLS COE-related issues.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

• Manages Sr. VP and VP of ERLS's schedules, including the planning and timely notification of meetings and appointments - inclusive of logistics (i.e., arrangements, meals, etc.) Uses independent judgement in setting priorities and proposing alternatives. Preps agendas and takes meeting notes for staff meetings and other ERLS COE meetings.

• Responsible for maintaining calendars, scheduling appointments and meetings, payroll, accounts payable and billing, drafting presentations, and project-related tasks.

• Act as a primary contact person for ERLS to assist with and triage employee requests and issues in less complex employee relations needs; and pass on detailed information to ERLS Managers in more complex employee relations needs.

• Supports ERLS COE team with duties including managing the training process, coordinating the setup of training, assessments, focus groups and other COE functions.

• Supports the scheduling of high-level meetings across the enterprise related to ERLS COE matters.

• Assists in the preparation of reports which often include tables, graphs and other visual materials.

• Maintains database for tracking ERLS functions including and not limited to MCAD, Grievances, Litigation, Consultations, and other metrics as defined.

• Participates in employee file audits, gathering necessary documentation from a variety of sources.

• Prepares data and information for Labor Arbitrations, MCAD/EEOC, OFCCP and other investigations and complaints.

• Processes settlement checks related to settled litigation matters.

• Suggest interventions and solutions to improve team processes, effectiveness or efficiencies.

• May include other duties as assigned.

Qualifications

QUALIFICATIONS:

• Associate's Degree or HR Certificate strongly preferred. Bachelor's degree preferred.

• 1- 3 years' prior work experience in a business or customer service setting, preferably in the Human Resources field or the equivalent combination of training and experience. Health care experience strongly preferred.

• General understanding of current state/federal employment law, i.e. FMLA, ADA, FLSA, EEOC.

• Strong written communication skills (including grammar, spelling and typing) and expertise in Microsoft Office software including Word, Excel and PowerPoint.

• Proficiency with Workday, PeopleSoft or similar system preferred.

• Ability to take appropriate initiative and understand when to escalate issues and demonstrated ability to be an active learner.

• Must have a high level of integrity/trustworthiness and ability to handle sensitive and confidential information.

• Ability to build and maintain successful, collaborative relationships with all levels of the organization and achieve credibility.

• Able to work independently and be a team player. Must be collaborative and adaptable to different personalities and demands, and able to work with a diverse workforce.

• Strong technical aptitude and computer skills are needed in Microsoft office. Strong data and analytic skills, including the ability to learn Workday, PeopleSoft, Teams, SharePoint and other related tools. Familiarity with Kronos/UKG is preferred.

• Effective operating in a collaborative, matrixed environment undergoing significant change.

WORKING CONDITIONS:

• Normal hybrid office working environment.

• Possible occasional travel to other MGB sites.

• While performing the duties of this job, the employee is frequently required to sit; talk; or hear; use hands to finger; handle; or feel; reach with hands and arms. The employee is occasionally required to stand; walk; and stoop; kneel; or crouch. The employee must frequently lift and/or move up to 5 pounds and occasionally lift and/or move up to 20 pounds.
