*Substitution: Certification (such as the International Association of Administrative Professionals' Certified Administrative Professional), diploma, or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.

Duties Description Under the supervision of an Employee Relations Assistant (Program Manager) in the Workforce and Organizational Development Unit (WODU) the Employee Relations Assistant is responsible for day-to-day activities related to educational reimbursement programs. Primary duties and assignments will be related to the Public Employees Federation (PEF) reimbursement programs, Management Confidential (M/C) reimbursement programs, Dependent Children's Tuition Program (DCTP), NYS Correctional Officers and Police Benevolent Association (NYSCOPBA) reimbursement programs, and Police Benevolent Association of NYS (PBANYS) reimbursement programs.

Duties include, but are not limited to:

• Answering telephone calls from employees seeking information and guidance on applications and award disbursements in accordance with the program guidelines.

• Retrieve application information from the Application Reimbursement Center (ARC).

• Provide initial review for reimbursement program applications to ensure accuracy and correct support documentation.

• Review applications to ensure there are no duplication of payments.

• Review eligibility and timeliness of applications within program guidelines.

• Contact applicants and providers to request information and/or documentation that is missing or incomplete.

• Prepare correspondence for applications that are denied or do not meet guidelines that explain the decision to applicants.

• Provide administrative support for all educational reimbursement programs.

• Review educational providers to ensure they are approved to deliver training in accordance with program guidelines.

• Respond to and resolve routine and non-routine inquiries.

• Prepare, edit, and format, letters, documents, reports, and other written materials.

• Review reimbursement payment information in SFS to respond to applicant inquiries.

• Assist with the preparation of close-out, tax, and other reports in accordance with agency guidelines.

• Participate in reimbursement unit internal controls related program reviews.

• Work as part of a team to continue to improve and streamline the on-line reimbursement system and automated reimbursement process.

• Work closely with other reimbursement and WODU staff when applicable.

• Other duties as required.
