Job Purpose:

Under general supervision, the Employment Services Specialist will receive, review, and complete the sourcing of all human resources documents. The Employment Services Specialist will also assist in various human resource services activities related to recruitment & retention, new hire onboarding, and entering data in HR systems.

Job Duties:
Assists with the management of the NEOGOV online recruiting system in posting, screening, and referring qualified candidates to the hiring manager through the employment center portal.

Closes vacancy announcements when the position has been filled in NEOGOV.

Ensures the accuracy of the vacancy data in NEOGOV.

Ensures the proper steps are followed when moving the applicants through the workflow.

Follows up with managers regarding referred candidates and verifies all documents regarding a recommendation for hire.

Processes all HR paperwork for new hires. Responds to managers' inquiries within 48 hours.

Coordinates and maintains all reports and logs associated with Employment Services regarding candidates and requisition status. Prepares new hire folders and confirms their accuracy before being archived at Central Records.

Provides the recruiter (the hiring manager) with viable candidates by obtaining, reviewing, and verifying potential applicants' applications from recruiting events and serving as the initial point of contact for new applicants.

Ensures all supplemental questions, state minimum requirements, and posting discrepancies are resolved before posting the position.

Ensures the proper steps are followed when moving the applicants through the workflow.

Follows up with managers regarding referred candidates and verifies all documents about a recommendation for hire.

Processes all HR onboarding documents for new hires.

Responds to managers' inquiries within 48 hours.

Coordinates and maintains all reports and logs associated with Employment Services regarding candidates and requisition status in NEOGOV and SharePoint tracking system.

Prepares new hire folders and confirms both accuracies before being archived at Central Records.

Partners with hiring managers regarding NEOGOV inquiries/updates and training.

Answers and resolves employment and employee issues as related to Employment Services.

Performs other human resource services-related duties as requested or required.

Minimum and Additional Requirements

State Requirements:
A high school diploma and administrative experience.

A bachelor's degree may be substituted for the required work experience.
Additional Requirements:
Must know laws, regulations, policies, and procedures relevant to the area of employment.

Ability to exercise judgment and discretion.

Ability to establish and maintain effective working relationships.

Ability to interpret and apply laws, regulations, policies, and procedures.

Ability to communicate effectively.

Ability to learn the agency's organizational structure, mission, and programs.

Strong skills in MS Word, Excel, PowerPoint, and HR tracking systems (SCEIS/SAP) .

Ability to present a professional and positive attitude toward the public and agency employees.

Ability to maintain confidentiality.

Familiar with regulations, policies, and procedures relevant to employment.
Annually scheduled reviews.

This position performs job duties relating to the custody, control, transportation, or recapture of youths within the Department of Juvenile Justice's jurisdiction. The employee may have direct and indirect contact with youths within the Department of Juvenile Justice's jurisdiction.

Preferred Qualifications

Agency Preferred Requirements:
An associate's degree and a combination of two (2) years to four (4) years of administrative, clerical, or human resources experience.
