Under general supervision and according to established policies, procedures and in compliance with federal and state laws facilitates employment-related processes. To maintain confidential records associated with the employment process. Assist recruiters and new hires to finalize new employee paperwork as part of the Onboarding process.

Key Duties & Responsibilities

1. Receives and assigns all approved vacant positions for recruitment in the Applicant Tracking System (ATS). Initiates employment process upon receipt of notification of approved Requisition in the ATS. Follows all processes related to the employment process and required documentation.

2. While working directly with the recruiters completes a variety of duties with pre-hire and onboarding process for new hires. Assist applicants with on-line application and questions as needed. Schedules new hires for pre-employment meeting and Employee Health visit. Ensures background consent has been completed and results are reviewed by recruiter. Meets with hires to complete necessary paperwork in the onboarding process. Assists new hires as needed with onboarding questions such as blazer ID activation.

3. Completes administrative tasks related to candidate onboarding to facilitate a smooth transition to hire. Enters status and results of pre-hire requirements, including background screening and employee health clearance.

4. Assist with the hiring process as well as renewal process for all employees within the Temporary Alternative Program (TAP). Collaborates with the hiring managers and departments on specific requirements and needs for TAP staff. Schedules all pre-employment requirements for all new hire TAP staff. Processes all final hire documentation and distributes to departments and RMS as required. Generates the weekly orientation list via the ATS and distributes to all departments necessary.

5. Prepares for UAB Medicine Orientation on a biweekly schedule by pulling and reviewing the orientation schedule the week prior. Distributes the orientation list to recruiters for review and verification that all attendees are listed. Ensures all departments received the final orientation list biweekly. Emails all new hires orientation instructions as scheduled the week prior to orientation.

6. Performs general office and administrative tasks, responsible for maintenance of confidential files. Maintains employment supplies, equipment and forms inventory. Processes invoices for travel reimbursement or vendor payment. Assists with making ID badges for new hires and other employees as needed. Administrative tasks as delegated by Manager. Maintains I-9 verification within E-Verify. Reviews forms to ensure they are complete and accurate for audit purposes. Ensures post-hire documents are in approved status in Oracle to ensure new hire is in complete status prior to payroll cutoff. Assist with maintaining the Nursys.com website with new hires.

7. According to interview guides, conducts phone interviews with prospective candidates and provides information to the recruiter about the candidates.

8. Answers questions concerning departmental issues from visitors or telephone calls when appropriate. Maintains employment email box by answering and directing questions as appropriate.

9. Performs other duties as assigned.

Qualifications

EDUCATION AND EXPERIENCE:

Required: Position requires a Bachelor's Degree in Human Resources, Business, or related field and two (2) years of related experience (i.e., employment/recruitment including experience in interviewing/screening applicants, etc.). Excellent verbal/written communication skills, sound judgment and exceptional listening skills required. Must be able to accurately assess issues and determine appropriate next steps. Must be proficient in Microsoft Office Suite, email, and internet applications.

Preferred: Previous experience working in Human Resources in a healthcare recruitment setting or healthcare leadership experience. PHR certification preferred.
