Office Assistant Substitute

An ESS Office Assistant Substitute is under direct supervision, responsible for performing entry-level clerical duties for a school, including answering and routing calls, greeting and directing visitors, typing correspondence, maintaining files, entering data, and operating office equipment.

Responsibilities
  • Answer phones, route calls, take messages, and respond to inquiries. Greet, direct, and assist visitors.
  • Assist school secretary and/or school office manager with projects as requested
  • Monitor and enter student attendance data. Contact parents if needed
  • Attend work and arrive in a timely manner
  • Schedule meetings, appointments, and building use. Set-up and prepare rooms for meetings as needed
  • May monitor students in the office and hallways
  • Assist with registering students and maintaining student cumulative records
  • Assist with student environmental and wellness activities, and student count
  • Perform other duties as assigned


Qualifications
  • CO Background Check-Level I-CBI/FBI
  • Minimum HS Diploma/GED or equivalent experience
  • ESS required documents.

  • English language skills (Spanish language skills a plus!)

  • Personal computer, keyboarding, and data entry skills
  • Ability to maintain confidentiality in all aspects of the job
  • Ability to manage multiple tasks with frequent interruptions, use time efficiently, demonstrate attention to detail, follow instructions, and respond to management direction

  • Ability to maintain honesty and integrity in all aspects of the job
  • Ability and willingness to adhere to attendance requirements, including regular and punctual employee presence
  • Ability to promote and follow Board of Education policies, Superintendent policies, and building and department procedures
  • Ability to communicate, interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds
  • Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment, and report unsafe conditions to the appropriate administrator


Materials and Equipment Operating Knowledge
  • Operating knowledge of and experience with personal computers, peripherals and media equipment
  • Operating knowledge of and experience with office software
  • Operating knowledge of and experience with typical office equipment, such as telephones, copier, fax machine, E-mail, etc.
