Position Summary

As an Event Coordinator at Empower, you will play a pivotal role in ensuring the seamless execution of trade shows, webinars, and internal events, where every detail counts. You will be the linchpin in creating memorable experiences that showcase our commitment to excellence and our dedication to health and wellness.

In this dynamic position, you will coordinate end-to-end logistics, managing everything from exhibit space and travel arrangements to onsite services and shipping. Your expertise will ensure that every event runs smoothly, from setup to breakdown, leaving a positive, lasting impression on participants. As the primary point of contact for all event-related inquiries, you will build and maintain strong relationships with clients, vendors, and stakeholders, fostering an environment of collaboration and success.

Duties and Responsibilities

  • Coordinates end-to-end logistics for multiple trade shows simultaneously, including exhibit space, travel, hotel accommodations, onsite services, and shipping.
  • Serves as the primary point of contact for all trade shows, webinars, internal events, and related inquiries.
  • Develops and maintains strong relationships with external clients, vendors, and other key stakeholders.
  • Creates detailed timelines and checklists to ensure all deadlines are met and no details are overlooked.
  • Oversees onsite set-up and break-down, ensuring smooth operations and engaged participants.
  • Collects post-event feedback and compiles reports documenting successes and areas for improvement.
  • Assists with the development of persuasive proposals and the negotiation of favorable terms to secure sponsorships and exhibitors.
  • Works with the marketing team to develop promotional materials, such as website content, e-blasts, and social media posts.
  • Understands client objectives and develops creative solutions to achieve them within budget.
  • Stays up to date on industry trends and best practices to ensure all marketing events are cutting-edge and meet the latest standards.
  • Maintains accurate records of expenses and invoices for accounting department.
  • Performs other duties as assigned.

  • Proficiency with trade show return on investment and marketing analytics tools used to assess the effectiveness of trade show marketing strategies.

  • Proven track record of working well under pressure and meeting deadlines.
  • Flexibility to travel to trade shows as needed.
  • Knowledge of marketing principles, including brand management, market research, digital marketing, and campaign management.
  • Understanding of various marketing channels and techniques, including online and offline marketing.
  • Proficient in Microsoft Office Skills-Excel, Word, PowerPoint, Outlook.
  • Proactive and result-oriented mindset, with the ability to adapt to changing market dynamics and drive innovation.

Experience and Qualifications

  • Bachelor's degree in marketing, communications, sales, or related field, required.
  • 1-2- years of experience coordinating trade shows or similar events, required.
