What You'll Do

Support EEB Seminars and community-building events through the following
  • Serve on the Seminar and Events/Retreat committees
  • Arrange logistics for invited speakers and create itineraries for visitors
  • Create and distribute promotional materials and announcements about events
  • Manage budget and execute honorarium payments and expense reimbursements
  • Arrange all catering and on-site setup (must be on-site for events)
  • Facilitate technology requirements as needed for the room and speakers
  • Create and document processes, templates, and briefs for events to generate efficiencies in future planning
  • Bring new ideas to help build a sense of community across the department (undergrad, graduate students, faculty, postdocs, and staff). This may come in the form of new events or additions to existing events.
  • Other duties as needed


Undergraduate Internship Coordination
  • Manage the advertising to and recruiting of mentors and potential students
  • Coordinate applications and student/mentor pairing
  • Facilitate the HR processes and related documentation for interns
  • Create and execute programming during the summer internship period
  • Other duties as needed

Skills You Have

Reporting to the Chief Administrator, we are seeking a part-time Events Coordinator, who will help to execute the EEB seminar series and other community-building events throughout the year.
Additionally, this role will assume a leadership position over the newly created (and growing) EEB Internship Program by coordinating all of the operational processes and creating an interesting and robust programming agenda for the interns. The Events Coordinator is someone who is passionate about creating well-run, fun and on-brand events for large groups of people. You know that great community events will have a positive impact on the climate of the department and will take pride in making that happen.

Required Qualifications*

Bachelor's degree. A minimum of three years of work experience in event planning or project management. Outstanding writing and editing skills. Experience with events and graphic design. Expert with Zoom and other virtual meeting platforms and tools. Demonstrated ability to set and balance multiple priorities. Routinely transports event equipment and supplies weighing up to 25 lbs

Desired Qualifications*

Experience with the University of Michigan policies and procedures, a plus. Customer service, bringing event best practices forward, quality, and a collaborative approach to work.
Collaborative mindset and a team player who builds and maintains good working relationships with speakers, visitors, vendors, university and college colleagues, and service units.

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes .

Additional Information

This position will have a hybrid working arrangement with the expectation that the Events Coordinator is on-site for the weekly Thursday seminars and other large events. Remote work can be arranged for non-event days, with a commitment to a total of 20 hours per week.

The posted salary for this position is based on a 100% effort. For a 50% effort role, the expected salary range would be $23,000 to $28,000.
