Position Summary:

The Brandcenter seeks a highly motivated and qualified Executive Assistant. This position provides executive level administrative support to the Executive Director of the Brandcenter, and ensures that the daily operations of the center are run effectively and in accordance with the established goals and objectives of the unit. The Executive Assistant will serve as the primary point of contact for the Executive Director and act as a liaison between the Brandcenter, other internal and external officials, and organizations.

Typical Responsibilities:
  • Manage a highly complex and dynamic calendar, ensuring the Executive Director arrives to and ends meetings on time. Courteously prioritize and schedule all calls and meetings, including reservation and preparation of the proper room or facility.
  • Ascertain the needs of the Executive Director and stay steps ahead, paving the way for the Executive Director on any given task.
  • Facilitate information for a variety of meetings, projects, and tasks.
  • Provide executive support including scheduling and organizing activities such as meetings, travel, and events.
  • Coordinate logistics and prepare personalized travel itineraries.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the Executive Director and determine appropriate action, referral, or response.
  • Create, draft, and prepare correspondence, presentation materials, and reports on the Director's behalf, exhibiting attention to detail and organization of confidential and sensitive documents.
  • Partner with the Executive Director on projects and deliverables.
  • Collaborate with Brandcenter leadership, faculty, and staff.
  • Serve as primary point of contact for internal and external constituencies on all matters, which includes organizing and coordinating the Executive Director's outreach and external relations efforts.
  • Responsible for providing effective telephone and email communications both internally and externally while maintaining a professional image.
  • Make high-level contacts of a sensitive nature with advisory board members, using discretion and diplomacy and time sensitivity.
  • Assist in handling logistics of scheduling board meetings, including preparing, organizing and collecting materials, communicating with board members on scheduling.
  • Participate as needed in special projects.The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
  • Previous experience working in a professional office environment providing administrative and or executive support.
  • Ability to maintain, plan, organize, and monitor multiple priorities simultaneously while maintaining special attention to detail.
  • Demonstrated ability to exercise exceptional interpersonal skills and customer service through oral and written communication.
  • Experience working with confidential materials, with the highest level of integrity, honesty, and complete respect for confidentiality.
  • Ability to exercise good judgment, work under pressure, and work both collaboratively as well as with a sense of autonomy.
  • Knowledge of Google Suite products (Docs, Sheets, Slides, etc), Microsoft Word, and Excel are essential with a willingness and ability to learn new software and systems as needed.
  • Experience working in and fostering a diverse and inclusive work environment or the commitment to do so as an employee at VCU.
Preferred Qualifications:
  • Bachelor's degree or equivalent combination of education and experience
  • Five to seven years' experience supporting executives.
  • Knowledge/experience of the creative advertising industry

Typical Schedule: Monday - Friday, 40 hours per week. This position is eligible for a limited hybrid and flexible work schedule once training is complete and must be coordinated and approved by the supervisor of this role. Hybrid and flexible arrangements may not be possible during campus events or high student service periods.
