The Executive Assistant functions as the key administrative support person in the management, coordination, and implementation of operations.

The Executive Assistant will provide general support and assistance to supporting a team of Managing and Senior Directors related to invoicing, client engagement matters, department activities, and personnel matters.

Responsibilities:
  • Help prepare monthly client invoices and administrative materials for internal practice meetings.
  • Perform internal administrative tasks for client projects, such as drafting conflict checks, setting up and closing project codes.
  • Submit expense reports through Concur and reconcile corporate credit card statements.
  • Coordinate and book travel plans, including airlines, hotels, and car service.
  • Provide general administrative support (e.g., copying sensitive files, ) and project specific assistance (e.g., preparing binders, developing production, proofreading and typing).
  • Arrange in-office meals for clients and internal meetings.
  • Ensure commonly used supplies (e.g., paper, binders, tabs) are in adequate supply.
  • Coordinate calendars to ensure conflicts are avoided and scheduled events are respected.
  • Work closely with the staff to keep the team well informed of upcoming commitments and responsibilities, following up as appropriate.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to determine appropriate course of action.
  • Provide a bridge for smooth communication between internal and external groups as well as guidance to additional support personnel.
  • Schedule and organize meetings, conference calls, events, and other departmental activities.
  • Meet and greet clients and other visitors.
  • Assist with department activities/projects as needed and perform other work-related duties as assigned.
Qualifications:
  • A Bachelors' Degree in relevant field of study (degree in business-related field a plus) is preferred but not required.
  • 3+ years of Executive Administrative Associate or Executive Assistant in consulting, professional services, accounting, or a law firm.
  • Feels comfortable with preparing client invoices, completing expense reports, and reconciling credit card statements.
  • Highly proficient with Microsoft Office Suite.

Full-time Positions and Part-time Positions Over 30 hours

Regular employees working 30 or more hours per week are also entitled to participate in Alvarez & Marsal Holdings' fringe benefits consisting of healthcare plans, flexible spending and savings accounts, life, AD&D, and disability coverages at rates determined from time to time as well as a 401(k) retirement plan. Provided the eligibility requirements are met, employees will also receive a discretionary contribution to their 401(k) from Alvarez & Marsal. Additionally, employees are eligible for paid time off including vacation, personal days, seventy-two (72) hours of sick time (prorated for part time employees), ten federal holidays, one floating holiday, and parental leave. The salary range is $75,000 - $90,000 annually, dependent on several variables including but not limited to education, experience, skills, and geography. In addition, A&M offers a discretionary bonus program which is based on a number of factors, including individual and firm performance. Please ask your recruiter for details.
