Background Screening

Responsibilities*
- Lead administrative support for the office of the CCO, under the direct supervision of the Chief Clinical Officer
- Strong understanding and knowledge of clinical operations to execute and facilitate daily clinical needs for a senior level actively practicing physician.
- This dynamic role requires an individual who always demonstrates a professional demeanor and exemplifies Michigan Medicine and Hospital ideals, with particular strengths in confidentiality and ethical response in all interactions.
- There is a considerable level of knowledge necessary to understand the attending service physician responsibilities and obligations before the administrative ones.
- The position strikes a balance between clerical and administrative excellence and the ability to act with diplomacy, tact, and ethics in a community-based healthcare setting.
- Provide a bridge for smooth communication between CCO office and all internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Liaison for the office of the CCO with faculty/ staff working within the C&W hospital such as: providers, mid-levels, nursing, medical records, referrals, medical assistants, etc.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the CCO, including those of a sensitive or confidential nature.
- When applicable, determines appropriate course of action, referral, or response.
- Proactively provide complex and rigorous calendaring for the CCO. Serve as the main point of contact for senior level management across UMHS.
- Manage travel arrangements and prepare business meeting materials for the COO. Brief the CCO on all details prior to the trip; complete written and online meeting registrations.
- Encumber expenses and maintain receipts for purchases on monthly basis using M-Pathways and Universal Management System. Investigate and resolve any expense discrepancy by working with the CCO.
- Reconcile Chief Clinical Officer's P-Card, Generate and process PO, Non-PO, Requisition, Journal Entries, Travel and Hosting reports, and other University standard business document
- Compile ad hoc reports including narratives, charts, graphs, and presentations under the direction of CCO.
Required Qualifications*
- Bachelor's degree in business administration or related field or combination of Education and Experience
- At least 2 years' experience of progressively complex administrative assistant experience
- Proficiency in word processing, spreadsheets and databases
- Strong analytical, verbal, written communication and interpersonal skills
- Skilled in organization and attention to details
- Keen focus and priority on customer service
- Demonstrated ability to handle multiple items simultaneously and produce high-quality work in a timely, accurate and efficient manner.
- Experience in handling items of a confidential nature efficiently and professionally
- Ability to work in a team environment and build trust with colleagues, staff, and faculty.
- Work independently and self-initiated
