DUTIES AND RESPONSIBILITIES:
- Records and File Management: Perform record and file management and maintenance.
- Employee In and Out Processing: Assists with In and Out Processing of civilian employees.
- Research and explain DoD, DCSA and internal office operational policies, procedures, and requirements.
- Provide assistance to DITMAC desk coverage.
- Interact with other internal DCSA and sometimes outside Government agencies on a normal basis, as required.
- Proficient with the Microsoft Office Suite Software and capable of creating a wide variety of documents such as reports, spreadsheets, plan of action and milestone project files, and presentations.
- Maintain and populate various databases and spreadsheets
- Utilize spreadsheets to track suspense actions and to manage workload, facility assignments, student activities and instructor assignments
- Assist in the monitoring of agency task management systems, spreadsheets, or other means to track internal and external suspense actions.
- Maintain tracking records to ensure accurate and current information vulnerability assessment schedules, assessment report status, security vulnerabilities, and facilities in-process.
- Maintain a variety of office logs and files schedules and office calendars and updating internal staff directories, as required.
- Management of incoming correspondence.
- Review outgoing correspondence for procedural and grammatical accuracy, and conformance with general policy, etc. before the correspondence is sent out.
- Preparation of packages and classified document maintenance:
- Responsible for managing correspondence, when required.
- Office Supplies: Assists in researching information relating to the ordering of office and other basic supplies.
- Day-to-Day Office Management
- Coordinate miscellaneous support services requirements such as repair of office equipment, technical support, and custodial services, with the appropriate resource officer.
- Responsible for troubleshooting minor issues with the telecom systems.
- Responsible for providing assistance in the Defense Travel System (DTS) which is a fully integrated, automated, end-to-end travel management system that enables DoD travelers to create authorizations (temporary duty travel orders), prepare reservations, receive approvals, generate travel vouchers, and receive a split reimbursement between their bank accounts and the Government Travel Charge Card (GTCC) Contractor.
- Attend designated conferences and meetings as required to assist with various administrative needs or to take and transcribe minutes of these conferences and meetings.
- Assist in preparing read-ahead including preparations of materials, provides logistical assistance related to organizing meetings.
- Maintain records for all property received and returned to the property office, as required.
REQUIRED EXPERIENCE, KNOWLEDGE, SKILLS, ABILITIES, COMPETENCIES:
- 2 years of relevant administrative and technical support experience
