SUMMARY

Acts as an administrative assistant for the CIO. Supports IT leadership team as appropriate. Works under minimum supervision and performs a variety of administrative duties, including handling of confidential information, utilization of various computer software systems, making visual and written support for presentations, composing assigned letters, responsibility for calendar/daily planning and maintaining files for Executive.



ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.



Coordinates administrative resources for the department.

Responsible for typing, proofing, and composing correspondence for the CIO.

Arranges and administers appointments and meetings for the CIO including composition of interoffice correspondence for such. Handles all incoming mail for CIO.

Answers the telephone and handles communication. Screens incoming calls.

Performs select tasks necessary to support department functions and direct staff of CIO.

Responsible for development and administration for special projects as assigned to support the CIO.

Responsible for maintaining and updating various materials and/or manuals needed to support onboarding of new team members, metrics for department, celebrations and fund raising.

Handles travel arrangements for the CIO, including air and ground transportation, lodging, itinerary planning, and expense report creation and submission.

Coordinates arrangements to ensure successful internal and external meetings such as room reservations, meal selections and reservations, travel arrangements, presentation aids, etc.

Attends internal departmental meetings.

Serves on planning team for special projects.

Develops visual and written support for both internal and external meetings.



Has writing, Microsoft Office, OneNote and PowerPoint presentation development skills. Understands current technology and helps CIO adapt quickly to new applications of technology.

EDUCATION and/or EXPERIENCE

Associate's degree (A. A.) or equivalent from two-year college or technical school; Bachelor's degree (B.A.) from four-year college or university preferred; and one to two years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

COMPUTER SKILLS

Proficient in Word, Excel, OneNote and Power Point applications..
