A day in the life of an Executive Assistant for the Projects Department:

In the role of Executive Assistant, you will have the opportunity to:
  • Maintain your personal relationship with Jesus Christ and be an effective witness for Him
  • Represent the office of the Vice President of Programs & Government Relations (VP), problem-solving both independently and cooperatively as issues arise, multi-tasking, identifying priorities, and corresponding appropriately
  • Serve as the liaison with the Projects Department's directors and subordinate management staff, executive staff, and other departments on behalf of the VP regarding meetings, schedules, project information, and travel
  • Coordinate the VPs schedule and schedule appointments such as arranging meetings, preparing agendas, reserving and preparing facilities, organizing visitors itineraries, and arranging travel
  • Screen and review all approvals (expense reports, travel authorizations, invoices, etc.) for the VP and clear with appropriate director before presenting to the VP for final approval
  • Answer, screen, and handle the VPs telephone calls and correspondence; arrange conference calls; review and handle e-mails
  • Inform the VP of pending issues, whether within the department and/or Samaritans Purse, and pertinent correspondence, especially while traveling. Handle issues and follow up as directed
  • Represent and communicate the intent and authority of the VP, as directed and needed. Handle general, secondary supervision of work responsibilities on behalf of the VP
  • Research and stay up-to-date with global news and developments and keep the VP informed
  • All other duties as assigned

Qualifications & Experience:
  • Bachelor's degree (B.A.) from four-year college or university; and six to ten (6-10) years related experience and/or training as an executive assistant or personal assistant; or equivalent combination of education and experience
  • General knowledge of Microsoft Office suite, Outlook, Word, Excel, and PowerPoint. Comprehensive knowledge of specific database management systems
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • Ability to maneuver comfortably through complex policy, process, and people-related organizational dynamics
  • Ability to discern upon issues and items that need to be escalated or delegated to the appropriate audience
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Ability to arrange complex and detailed travel plans and itineraries; compile documents for travel-related meetings; and manage a calendar
  • Comprehensive knowledge of requesting, compiling, editing, and distributing reports to and from ministry leaders
