Job Summary

The Executive Assistant and Administrative Team Lead manages high-level program support and coordination for the Leadership & Major Gift Programs teams in the Office of University Development.Principally, the Executive Assistant and Administrative Team Lead provides executive administrative support for the Assistant Vice President, Leadership & Major Gift Programs and the Assistant Vice President, Leadership Giving, ensuring strategic and timely communication and coordination with university colleagues and external constituents for both AVPs. The position facilitates development efforts in a variety of ways including project work; database reporting; donor visit and event preparation; coordinating and planning meetings/events; and compiling research and briefing materials. The Executive Assistant and Administrative Team Lead also convenes and coordinates communication, best practices, and mentorship across the Major Gift Programs administrative support team.

Responsibilities*

Executive Administrative Support-80%
  • Provide direct, high-level support to the two AVPs by coordinating the effective scheduling of meetings, exercising discretion and judgment as to priorities. Obtain, prepare, and organize background materials, agendas, and minutes for various meetings as requested; maintain appropriate follow-up.
  • Act on behalf of AVPs to handle inquiries of highly sensitive and confidential nature, and respond to inquiries from the campus community and our external constituency.
  • Coordinate/monitor travel of AVPs; create/manage expense reports, itineraries, and other tasks.
  • Run Business Objects/Tableau reports for the purpose of strategic business management, metric/performance oversight, and donor portfolio engagement strategies.
  • Manage documentation of AVPs donor interactions in Donor Alumni Relationship Tool (DART).

Major Gift Programs Administrative Team Lead - 20%
  • Convene, lead, and facilitate meetings and learning sessions for the Major Gift Programs administrative support staff. Encourage cross-team communication; share best practices on workload distribution, problem solving, etc. Provide informal staff coaching and mentoring; suggest professional development opportunities that increase capabilities and boost staff engagement.
  • Facilitate onboarding process for new Major Gift Programs administrative support staff.
  • Coordinate all arrangements for semi-annual Major Gift Programs all-staff meetings.
  • Drive a positive, equitable and inclusive culture.

Required Qualifications*
  • 3+ years of administrative and/or project experience, or a Bachelor's degree with a minimum of 2 years of administrative and/or project experience
  • Excellent written and oral communication and interpersonal skills
  • Demonstrated discretion when dealing with highly sensitive information
  • Proven track record in excellent customer service
  • Experience in working both independently and as a part of a team
  • Considerable knowledge of Google Suite, Microsoft office suite, and Zoom.
