Summary

Executive Assistant to SVP CHIEF HUMAN RESOURCES OFFICER

Position Highlights:

The Executive Assistant to the SVP Chief Human Resources Officer will oversee and coordinate administrative services for the HR EVP's office operations. Establishes work procedures and standards to improve efficiency and effectiveness. Ability to coordinate calendars, scheduling and itinerary for executives and board without immediate supervision. Ability to create presentations for executive and/or board meetings. Ability to create and interpret reports for executive. Ability to communicate and handle internal and external communications for executive.

The Ideal Candidate will have:


  • Administrative support experience in an office setting.

  • Experience in healthcare, research/academic, or biopharma setting strongly preferred

  • Exceptional customer service and communication skills

  • Strong command of English grammar, spelling, and proofreading skills

  • Ability to work in a fast-paced environment

  • Self-starter who can organize work and anticipate issues with limited supervision

  • Familiarity with office organization protocols and procedures

  • Discretion and judgment in handling confidential information

  • Proficiency with advanced Microsoft Office applications - including Word, Excel, PowerPoint, and Outlook



Responsibilities:


  • Oversees and coordinates administrative services for the CHRO/SVP's office

  • Coordinates calendars, scheduling, and itineraries for the CHRO

  • Initiates various meeting agendas and organizes off-sites

  • Prioritize and adjust CHRO's engagements based on their urgency

  • Establishes work procedures and standards to improve the Office effectiveness.

  • Drafts, manages finalization, and communicates internal and external communications for the CHRO.

  • Provides support for needs of the CHRO such as expense reports, check request, and purchase orders for the CHRO.

  • Provides support for the CHRO's domestic and international travel - including transportation, lodging, preparation of itineraries and assembly of supporting materials

  • Coordinates special projects such as industry meetings and business dinners

  • Conducts background research to prepare the CHRO on guests, candidates, and prospective industry partners.

  • Orders CHRO general stores supplies and assists with various duties as required.



Credentials and Qualifications:


  • High School Diploma/GED

  • Minimum of seven (7) years administrative support experience in an office setting with at least 3 years at the executive level.



Preferred:


  • Bachelor's Degree

  • Prior experience in a healthcare setting a plus
