The Harris Center for Mental Health and IDD ("The HARRIS CENTER") is looking for an Executive Secretary to join our team. Under the direction of Deputy Director, the executive secretary performs a variety of complex administrative and clerical duties. Often this position provides the initial contact for many external and/or internal customers communicating with the Agency. Additionally, the position serves as principle liaison to all administrative functions. This position requires local travel, along with occasional flexible work schedule.

Your role in Action:
  • Answers telephone, greets guests and refers individuals to the appropriate department/staff on a routine basis.
  • Schedules appointments and organizes meetings with external and internal individuals.
  • Provides software user support managing e-mails and personal calendars.
  • Compiles mailing lists, creates presentation materials, drafts flyers, memoranda and correspondence.
  • Functions as the recording secretary according to departmental / organizational procedures.
  • Develops, coordinates and maintains general filing systems for designated staff.
  • Completes and send accurate reports as assigned.
  • May respond to complaints from officials, staff and the public, and refer the complaint to appropriate staff.
  • Works with others in a collaborative manner. Actively participates as a member of the team.
  • May prepare and process purchase vouchers, payroll, budget adjustments, personnel requisitions and other internal forms in accordance with organizational/departmental procedures.
  • Prepares and processes travel requests and expense reports.
  • Performs related work as assigned. Adapts to changing working requirements. Flexible to meet ongoing needs of the Agency.

What qualifications you will need:

Education:
  • High School Diploma or General Education diploma.

Experience:
  • Four years of progressive office administrative secretarial experience or an equivalent combination of training and experience.

Knowledge Skills & Abilities:
  • Proficiency in computer software programs, i.e. Microsoft Word, Excel, PowerPoint and

database management.
  • Ability to communicate effectively and tactfully with agency personnel, consumers and the general public.
  • Proficiency in established record keeping, filing, and purchasing processes and

practices.
  • Must have a computer keyboard speed of at least 65 wpm and pass all clerical support skills tests according to minimum agency requirements.
