Responsibilities

The position is responsible for providing services and support for the Facility Management, Energy and Infrastructure team in: (a) engaging construction contractors, design professionals, and related specialty services on capital construction projects and non-capital service agreements across CommonSpirit Health; (b) adhering to business processes for procuring and contracting of services of construction contractors, design professionals, and related specialty service providers; and (c) tracking and reporting on the contracting process through contract signature. This position is responsible for contract support for capital and non-capital programs.

The Contract Specialist, carries out his/her duties by adhering to the highest standards of ethical and moral conduct, acts in the best interest of CommonSpirit Health and fully supports CommonSpirit Health's Mission, Philosophy and core values.

This position reports directly to the System Contracts Manager, Facility Management, Energy and Infrastructure within National Real Estate Services and supports System Directors, Division Directors and Program Managers in the delivery of capital construction projects and Facility Management service contracts. Additionally, this position works closely with hospital facility management leaders throughout CommonSpirit Health's large portfolio, the Real Estate Center of Excellence (RECoE), Service and Supply Resource Management (SSRM) and Risk Services.

  • Develops contract documents supporting scope of work, timelines, and cost from vendor
    proposals to ensure contacts are appropriately papered.
  • Assistance with RFP processes including documenting adherence with CommonSpirit Health's bidding policy.
  • Implement procedures for contract management and administration in compliance with CommonSpirit Health's policy.
  • Works with Risk Management to coordinate contractual insurance requirements and supplemental insurance needs
  • Track insurance certificates and insurance broker verifications of compliance with
    insurance provisions in contracts.
  • Documents competitive terms and vendor feedback with terms and conditions and
    contracting practices and provides recommendations for changes.
  • Ensures that signed contracts are communicated to all relevant parties to provide contract
    visibility and awareness, interpretation to support implementation.
  • Track record of maintaining high-quality standards for the organization. Understands key
    process issues and ensure that process improvements occur.
  • Understanding of construction functions and their interrelationship to commercial
    contracts, development, change orders and management.
  • Use of independent judgment and creativity to resolve contractual issues.
  • Analytical and communication skills.
  • Solid process oriented and tracking skills.

Qualifications
  • Minimum of (3) years as contract specialist / administrator in a facility services and /or construction services
  • Degree in business administration, finance, law, construction management or other related field is preferred.
  • Technical knowledge and experience managing and administrating a program involving master agreements for Architects, General Contractors, and Facility Services service providers
