The Role

• As Facilities Coordinator Lead , you will play a crucial role in ensuring the efficient administration of our company's facilities. Your primary focus will be on maintaining a safe and functional workspace for our employees. Leveraging your financial background, you'll also contribute to budgeting, cost management, and financial reporting related to facility operations. Additionally, you'll oversee the Welcome Desk, ensuring a positive experience for visitors and employees alike.
  • Financial Administration:
    • Collaborate with upper management to develop and manage budgets for facility needs.
    • Monitor expenses, track costs, and ensure adherence to financial guidelines.
    • Handle general accounting tasks, including accounts payable, payroll, petty cash, and budgeting.
  • Administrative Oversight:
    • Delegate cleaning and maintenance tasks to team members.
    • Monitor the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots, and outdoor recreation spaces.
    • Perform routine maintenance on facilities and make repairs as needed.
    • Schedule routine inspections and emergency repairs with outside vendors.
    • Ensure proper security measures for the workplace, collaborating with security system vendors or a team of security professionals.
  • Welcome Desk Management:
    • Supervise the Welcome Desk staff, ensuring professional and courteous service.
    • Greet visitors, answer inquiries, and direct them to the appropriate departments.
    • Manage visitor access, issue badges, and maintain visitor logs.
    • Coordinate with security personnel to ensure a secure and welcoming environment.
    • Assist employees with general inquiries related to facilities and office services.
  • Reporting and Communication:
    • Maintain day-to-day operations of facilities, including delegating or completing maintenance orders.
    • Create reports on maintenance, repairs, safety incidents, and other relevant occurrences for supervisors and relevant staff.
    • Prepare facilities for changing weather conditions.
  • Vendor Management:
    • Manage vendor relationships and train vendors on work orders and billing procedures.
    • Review service contracts and ensure compliance.
    • Conduct regular facilities inspections and document findings.
