The College and Graduate School of Arts and Sciences at the University of Virginia seeks applications for a Department Manager to be responsible for the administrative and business operations of the Department of Media Studies . This is a leadership opportunity for a flexible, organized finance and administrative professional who will thrive in a scholarly environment and help facilitate exploration into multiple aspects of the social sciences and humanities.

The Department Manager will supervise an experienced administrative coordinator - whose responsibilities include monitoring student progress toward degree completion, department course scheduling, and event planning for the unit - and will report to the Department Chair. Other key relationships will be with the Directors of Undergraduate Programs (DUP), Graduate Studies (DGS), and with divisional and functional leaders in the Dean's Office.

The Department Manager supports the day-to-day operations of the unit in the following areas:

Administration
  • Serve as a lead advisor to the Department Chair and collaborate to ensure seamless day-to-day operations for faculty, students, staff, and visitors to the department. This includes coordinating with the Chair to set the agenda for monthly faculty and departmental leadership meetings.
  • Supervise, coordinate, and participate in planning and development of activities for the unit to ensure smooth and successful support of business operations.
  • Formulate internal procedures and guidelines for unit activities, including the business of the unit, such as academic administration.
  • Evaluate effectiveness of business systems and processes. Recommend improvements to enhance efficiency.
  • Coordinate space use and facilities planning.
  • Represent the unit on business affairs across Grounds through a variety of forums.
Budget and Finance
  • Develop and prepare budgets and financial reports for general appropriations. Annual expenditures generally are in the hundreds of thousands to a few million dollars.
  • Undertake general financial reporting to ensure budgetary control and responsible fiscal oversight. Maintain the budget throughout the year, with ability to share year-to-date progress with stakeholders.
  • Manage internal controls.
  • May coordinate pre- and post-award activities between faculty and a research administrator.
Human Resources
  • Partner with HR Business Partners and Recruiters to provide process support on recruitment efforts, compensation analysis and employee management. Direct employees to the appropriate resources or documentation for understanding HR processes and policies.
  • In conjunction with the unit head, build and maintain a strong inclusive and welcoming culture for all students, faculty, and staff. Advocate for a customer service mindset when interacting with all constituents.
  • Coordination of the annual promotion, tenure, and renewal processes for tenure, tenure-track and general faculty members.
  • Supervise staff direct reports and assist the unit during the annual performance management cycle.
Student and Community Engagement
  • Provide student-facing support, which can include administering funding, hiring and supervision, as well as coordinating the communications team which comprises student wage hires.
  • Oversees the department's digital presence by maintaining a strategic plan for the website and social media accounts (i.e., Instagram and Twitter/X)
In addition to the above job responsibilities, other duties may be assigned.

Minimum requirements:

Education: Bachelor's degree
Experience: Two years of relevant exempt level experience, typically in finance and budget. Relevant exempt level experience may substitute for a degree.
Licensure: None

Preferred experience and qualifications:
  • Experience in a support capacity in an academic environment and a willingness to take on new initiatives as they arise.
  • Experience developing and managing budgets and ability to produce, interpret, and share regular financial reporting from existing financial systems.
  • Ability to manage multiple tasks in a fast-paced, demanding and complex environment while remaining flexible and collegial.
  • Ability to work well as a team member, as well as independently with minimal supervision.
  • Preferred Computer Applications: Microsoft Word, Outlook, Excel, Adaptive and SIS (Student Information System), Workday, and Smartsheets
About the Department of Media Studies:

The Department of Media Studies analyzes media culture, technology, labor, literacy, policy, infrastructure, and inequity. The mission is to provide students with the tools to evaluate and shape media. With global reach, faculty and student examine media from a variety of perspectives that include media history, aesthetics and forum, audience analysis, media uses, the impact of media on public opinion, film and screen studies, and the relations between media and the law. The department offers bachelor's, master's, and doctoral degrees and boasts approximately 25 faculty members.

This is primarily a sedentary job involving extensive use of desktop computers.

This position is located in Charlottesville, VA, and is primarily an on-site role. A minimum amount of hybrid work may be available dependent upon the needs of the department and the incumbent's performance.

Anticipated Hiring Range: Commensurate with education and experience. This is an exempt level, benefited position.
