The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Vice Chair of Education in the Department of Psychiatry is seeking a qualified candidate to fill a full-time Finance Manager position. This is an exciting opportunity to join our collaborative administrative team at a world-class research institution. The position has responsibility across three entities: the Research Foundation for Mental Hygiene (RFMH), the New York State Psychiatric Institute (NYSPI), and Columbia University (CU) Psychiatry.

There is considerable interaction among the three organizations. Therefore, this position's complexity and dimensions require outstanding skills and professionalism.

Responsibilities
  • Pre- and Post-award Administration
    • Preparing budgets and budget justifications in preparation for grant application submissions.
    • Compiling and formatting applications to meet sponsor specifications and deadlines.
    • Working with OSP to ensure review of all application materials and timely submission of all documents.
    • Compiling and submitting to OSP, all documents required to facilitate the execution of subcontracts.
    • Maintaining up-to-date biosketches and other support materials for investigators.
    • Assisting Principal Investigators in the preparation of JIT requests, progress, and final reports as per the sponsor's guidelines and deadlines.

    Oversee the overall budget for our departmental accounts and ensure the division's financial health.
    • Work with the Vice Chair for Education to develop strategies for creating successful grant proposals and new strategic initiatives for Education.
    • Maintain control and oversight over award budget and expenses through ongoing financial monitoring and financial report analysis.
    • Tracks project spending against project activities, prevents overdrafts, and provides financial analysis to PIs and project teams, as needed (develops, implements, and tracks budgets with periodic re-forecasting).
    • Ensure compliance with financial policies, procedures, and regulations.
    • Provide project support and liaison functions for the team as required.

    Other Duties include:
    • Prepare and process requisitions, purchase orders, check requests, invoices, honoraria reimbursements, stipends & deposits for the Department.
    • Manage Individual Account Balances for Residents awarded additional funding for research.
    • Assist with NYS line assignments: manage state lines and residents' salaries.
    • Assist in submitting vendor contracts for the departmental program events.
    • Assist with the onboarding process of the trainees in programs sponsored by the Division.
    • Perform other related duties and responsibilities as assigned/requested.

    Must be able to work with all levels of personnel. The position requires establishing and maintaining relationships within and across departments, as well as servicing grants and accounting needs for the Vice Chair for Education.

Minimum Qualifications
  • Bachelor's degree is required with a minimum of 4 years of relevant experience in financial management in Medical Education & Research.
  • Ability to work within financial systems.
  • Proficiency in Microsoft Office, including Excel.
  • Familiar with ARC, FDS, Concur, PaymentWorks, TIQR, RPPR & NIHMS system.
  • Excellent communication, organizational, and interpersonal skills, with the ability to work collaboratively with all levels of personnel.
  • Knowledge of Sponsored Projects Administration
  • Experience with financial reporting, budgeting, and forecasting.
  • Ability to meet deadlines and maintain required confidentiality.
