General Description:
As a member of the college financial aid office, the Financial Aid Coordinator will manage the Federal Student Loan Program and assist with the Federal Pell Grant program reconciliation; familiar with federal, state, VCCS , and NOVA financial aid policies and procedures. Analyzing student financial applications to render eligibility determination, consistent with institutional, VCCS , state, and federal requirements and assisting students with their financial aid process to achieve their education goals.

Duties and Tasks:
  • Supporting the college financial aid office for the purpose of maximizing assistance for all NOVA students who have applied for financial aid, or who wish to do so.
  • Performing reconciliation of Federal Direct Loan Programs and assisting with Federal Pell Grant reconciliation, and overpayment process.
  • Assisting with reviewing and awarding supplemental grants and verifying disbursements of funds.
  • Collaborating with the Financial Aid leadership team to develop strategies to effectively use technology to implement, monitor and improve NOVA’s Financial Aid processes, policies and procedures while meeting federal regulations and serving our students well.
Special Assignments
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

  • Strong customer service skills.
  • Ability to work well with students, staff, and other offices for successful resolution to difficult problems.
  • Knowledge of and ability to interpret federal, state, VCCS , and institutional policies and procedures, especially as they relate to the administration of financial aid programs.
  • Excellent communication and organizational skills.
  • Ability to work independently, under pressure, and to manage multiple tasks and demands.
  • Strong attention to detail and analytical skills.




Minimum Qualifications:
  • Direct financial aid experience in a higher education setting,
  • Experience in financial aid administration, reconciliation, and compliance.
  • Experience working with computer applications related to financial aid as well as student information systems.
  • Experience communicating and interacting with diverse students and colleagues.
  • Experience with documenting the reconciliation process and retaining relevant documentation for audit and review purposes.
Additional Considerations
Additional Considerations:
  • Experience reviewing and comparing Title IV aid (including Pell Grants, loans, and Campus-Based aid) recorded on the Department’s systems (such as COD , G6, and NSLDS ) with the school’s internal records.
