JOB SUMMARY:
The Financial Operations Specialist is responsible for overseeing, streamlining, and enhancing financial processes
within an organization. They play a key role in managing financial transactions, maintaining financial records, and
ensuring compliance with internal policies and external regulations. This position involves collaboration with various
departments and financial institutions to drive operational excellence and financial stability.
ESSENTIAL FUNCTIONS:
Communication Skills
Effectively articulates and communicates with Senior level management.
Calls out issues to Manager and works with Manager to resolve.
Maintains a customer service demeanor.
Resourceful
Trouble shoots some systematic issues.
Time Management
Adheres to deadlines and advises when assistance is needed to meet deadlines.
Record-keeping
Organizes and maintains accurate financial records for auditing, reporting, and reference purposes.
Process Optimization
Identifies inefficiencies in financial processes and proposes improvements, automation, and streamlining measures
to enhance efficiency and reduce costs.
JOB DUTIES/RESPONSIBILITIES:

• Time Sheet Corrections (submissions, deletions, approvals, transfers)-Working with client finance to obtain
approvals ensuring the process is adhered to.
• Running Ad hoc Reports for HR-Timesheet reporting for 3rd party independent contractors.
• Supervisor change requests (assigning and setting up time approvers) based on updated information from HR.
• Non payroll timesheet entry.
• Coding Accounts Payable Invoices ensuring correct GL is coded.
• Maintaining the Vantage Inbox by responding to emails that apply in a timely manner and resolving any
issues mentioned.
• Applies updated employee grades as directed from Manager.
• Creates HR Mini Master employee profiles in Vantage for non-payroll employees.
• Maintains list of all active non-payroll employees.
• Terms Non-Payroll Employees HR Mini Master profile as needed.
• Create sand submits freelancers 1000 HRS report for HR dept, identifying freelancers' hours worked over 1000
and flags NYPFL freelancers that met the threshold based on NYC payroll laws.
• Assists in Opening non billable general admin job numbers as requested.
• Daily Entry of employee grades and submitting role requests to access vantage for employees and freelancers that
are new hires.
