Summary

The Office of Education Affairs - Financial Aid is seeking a Financial Student Aid Counselor to provide support to the Financial Aid department for students, hiring managers, and other stakeholders across all schools within Baylor College of Medicine. Successful candidates can demonstrate success in the ability to collaborate with all administrative levels in a university setting, and possess the ability to work effectively with students, staff, and faculty. This role will promote the mission, vision, and values of Baylor College of Medicine.

Job Duties

Awarding Aid
  • Assists in administering financial aid programs, which include Federal loan programs and Work-Study.
  • Maintains a working knowledge of Financial Aid, including requirements and eligibility for students.
  • Adheres to institutional, state, and federal financial aid awarding policies.
  • Adheres to institutional, state, and federal policies (e.g., FERPA [Family Educational Rights and Privacy Act]).

Federal Work Study
  • Processes aid for the Federal Work-Study program (FWS), assists with maintaining updates to job postings, employed student roster, and reconciles fund data with student employment data monthly.
  • Assists with preparing year-end FWS reports for federal reporting.
  • Coordinates student hiring with individual departments on and off campus.
  • Train hiring managers annually on program requirements.
  • Communicate with hiring managers, departments, and students to facilitate effective management and oversight of the FWS program.
  • Assists in maintaining process documentation annually on FWS for audit, program review, clarity, and guidance.

Customer Service
  • Processes emails in the general financial aid inbox (reading, categorizing, responding) in a timely fashion.
  • Answers calls on the Office of Student Financial Aid telephone line and voicemail in a courteous and professional manner.
  • Greets all visitors (students, staff, faculty, etc.) in a friendly and welcoming manner.
  • Triages all customer points of contact (email, phone, in person) to the appropriate office(s) and redirect as needed.
  • Provides assistance to BCM students related to financial aid awarding and processing of all submitted financial aid forms.
  • Manages the calendar for the Senior Manager of the Student Financial Aid Office, scheduling meetings, setting up Zoom, etc.
  • Process and reroute incoming office mail as needed.
  • Performs other job-related duties as assigned.


Minimum Qualifications

  • High School Diploma
  • Two years of relevant experience.


Preferred Qualifications

  • Prior Financial Aid Experience.
  • Superior written, oral, and interpersonal communication skills, group presentation skills, and proven ability to work with diverse constituents.
  • Demonstrated experience in successfully working in a complex, fast-paced environment.
  • Knowledge of MS Office Suite.
