Position Title: Adult Education Paraprofessional

(Fiscal Support Specialist)

General Description:

Responsible for a variety of fiscal related tasks for the Adult Education program including researching financial data and preparing reports. This position is governed by Generally Accepted Accounting Principles, state and federal laws, and Arkansas Adult Education Section policy.

Follows set procedures and may exercise some independent judgment in carrying out instructions. Maintains budgets and expenditure reporting as required. Provides support for student data system (LACES). Provides office support as needed. Serve as GED and/or TABE Examiner as needed.

Areas of Responsibility and Associated Duties:

Record Keeping and Reports :

Maintaining budgets
  1. Prepares and balances ABE, GAE, GAE Carryover, EL Civics, D&E, and other budgets.
  2. Prepares monthly expenditure reports and year end closing reports and submits them in a timely manner according to the state guidelines.
  3. Posts transactions to journals and/or ledgers.
  4. Develops and maintains databases, spreadsheets and other fiscal reporting mechanisms.
  5. Advises the Adult Education Director on the status of the budgets.
  6. Complete records and reports as requested.
  7. Completes quarterly and yearly reconciliations.
  8. Extensively utilize Microsoft Office products (particularly Microsoft Excel).

LACES reporting :

Assists in maintaining student records in the state data system (LACES) accurately and in a timely manner.
  1. Enrolls students in database according to state guidelines.
  2. Inputs new student's information into database.
  3. Posts student attendance in LACES.
  4. Inputs student attendance hours in accordance with state guidelines.
  5. Produces and distributes various reports to be sent to the Adult Education Director, NPC administration, and Adult Education instructors.
  6. Monitors LACES data including student progress, achievements, and exits from program.
  7. Completes records and reports as requested.

Personnel Time Sheets :

Manages budgeted hours for extra help employees correctly.
  1. Collects and processes time records.
  2. Maintains a log concerning hours worked, and a calendar to assist extra-help employees keep up with their hours worked.
  3. Completes PARS and/or Certifications on all employees.

Receptionist:
  1. Answers and distributes incoming calls and messages (answering questions about program several times a day).
  2. Meets and greets visitors and students as they enter the office and provide accurate information to the public.

Clerical:
  1. Prepare letters, memos, correspondence, travel vouchers, purchase orders, minutes of meetings, etc., as needed.
  2. Answer phones
  3. File student records and correspondence.
  4. Process incoming and outgoing mail.

Position may include other duties as assigned.

Requirements:
  1. High school diploma or equivalent
  2. Experience and/or training in fiscal support
  3. Associates Degree or Bachelor's Degree preferred

The Director of the Adult Education program.
