DEPARTMENT OVERVIEW

UC San Diego Housing, Dining and Hospitality (HDH) provides housing and dining services for approximately 19,000 undergraduate and graduate students and their families in more than 400 buildings, covering nearly 10 million square feet. Consisting of eight divisions, HDH has more than 1,000 career employees, 1,200 to 1,300 student employees, and an annual operating budget greater than $250 million.

HDH is a self-supporting department that operates without any federal, state or campus funding. The department receives nearly 90% of its funding from housing and dining services. It also secures revenue from conference and catering services. The goal is to break even.

HDH is in the midst of implementing an aggressive building plan that will added 10,000 new beds in the next 10 years and will almost double our square footage by 2032.

POSITION DESCRIPTION

Under general supervision of the Senior Project and Purchasing Manager, uses professional purchasing skills and concepts to complete purchasing assignments of moderate complexity requiring the analysis and review of multiple procurement options for purchases under $100,000. Exercises judgment within defined limits and practices to determine most effective methodology to acquire common goods and services. Works on problems of moderate scope where analysis of situations or data requires a review of a variety of factors.Purchasing duties are associated with the purchase of food commodities and services for 19 restaurants. Has authority to purchase from preapproved standard contracts in excess of $100K. Provides analytical and technical assistance to the Dining Services (DS) Division in gathering Spend/Total Cost data. Analyzes various usage data such as invoices, vendor reports, and dining inventory control system to create commodity specific spreadsheets which will be provided to the Integrated-Procure-to-Pay Solutions (IPPS) Procurement Team assigned to HDH, DS managers, and manufacturers to show past purchases and usage history. Provides support to DS and IPPS staff related to purchasing activities. Duties include database management, generation of activity reports, mailings, faxing, filing, and document control. Researches and identifies potential sources of supply for both standard and specialty items. Expedites deliveries and accepts, investigates and resolves simple to complex customer complaints. Acts as a source of general information and assistance to DS staff related to procurement issues.

QUALIFICATIONS
  • Ability to read and interpret terms and conditions of basic contracts. Experience with purchasing processes. Ability to learn and apply such knowledge under general direction. Skill in accurately understanding and following detailed contract implementation language and processes.
  • A minimum of three (3) years experience in database management. Ability to compile and analyze electronic data.
  • Understands ERP / financial systems (such as Oracle, PeopleSoft, SAP, Banner, etc.).
  • Knowledge of the organization's departments and operations required in order to meet their procurement needs. Experience and understanding of the culinary procurement needs in a variety of food service operations.
  • Proficiency in the use of standard spreadsheet and word processing software. Demonstrated knowledge of Windows and MS Office applications (Word, Excel, PowerPoint, Outlook, and Access).
  • Analytical skills necessary to evaluate the quality and cost effectiveness of purchasing options.
  • Skill in setting up and maintaining filing systems for rapid/easy retrieval.
  • Skill in data entry. Demonstrated ability to process a high volume of transactions (on-line and paper) rapidly and accurately with great attention to detail.
  • Ability to communicate effectively in writing and verbally. Excellent interpersonal skills, including tact, diplomacy, and flexibility. Skill to communicate in a helpful, courteous and informative manner on the telephone, in person and in writing.
  • Problem solving skills with ability to analyze situations, identify existing or potential problems, recommend solutions, determine and implement procedures to accomplish effective resolution, and evaluate results or progress.
  • Ability to exercise professional judgment and ensure confidentiality.
  • Strong customer service skills to work effectively with internal food service operators and represent their needs to vendors. Ability to trouble-shoot and resolve vendor issues in a positive and collaborative manner.
  • Ability to independently organize assigned tasks, set priorities, develop comprehensive timetables and strategies to meet multiple and consistently changing deadlines.

Pay Transparency Act

Annual Full Pay Range: $56,700 - $97,500 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $27.16 - $46.70

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
