The Graduate School is responsible for all administrative aspects of the university’s graduate programs. The chief officer is the Dean of the Graduate School. Primary functions of the Graduate School include monitoring and periodically reviewing all existing programs to ensure that their standards and performance are of the highest quality, identifying and developing new programs that are consistent with regional and national needs, providing logistical support necessary to facilitate the student’s graduate experience, supporting the research and creative activities of faculty and students through workshops, innovative programs, and funding opportunities, and promoting communication and cooperation among various academic units within UNCW and the university system. The graduate school admissions team provides comprehensive applicant services.

The Graduate Admissions Team in the Graduate School provides comprehensive application and data management support.

Duties include:
Comprehensive Application Management Support:
  • Monitors the applications as they progress through the application workflow/cycle
  • Foreign credential evaluation review to determine the equivalency of foreign degrees to the U.S. education system
  • Verify the regional accreditation status of foreign institutions and programs; access the capability of foreign accreditation standards with regional accreditation requirements to the U.S.
  • Convert foreign grades into the U.S. ( GPA ) Grade Point Average system, considering any variation in grading scales and adjust them to align with the university’s standards
  • Updates and verifies student application data between admissions systems for accuracy; refers special issues to the Dean
  • Communicates with a diverse population of prospective applicants about graduate programs, application requirements, status, missing documentation, and admissions decisions; this position might be the applicant’s first point of contact with UNCW




Data Management:
  • Uses multiple systems and software to push/pull data
  • Maintains software data tables in applicable systems; tests and troubleshoots software during system upgrades and updates and assists admissions area and campus users with technical issues
  • Enters and verifies graduate application information and test scores
  • Utilizes error reports to identify and update missing or incorrect data
  • Scans and/or uploads supplemental application materials
  • Data entry


Other Duties:
  • Assists with documentation and makes recommendations for graduate process efficiencies, including practices, policies, and procedures
  • Maintains confidentiality of protected information
  • Assists with managing the social media presence for the Graduate School accounts
  • Assists with other processes and procedures as assigned
Minimum Education and Experience Requirements
Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Preferred education, professional skills and experience
  • Bachelor’s degree and experience in higher education
  • Knowledge in Ellucian Banner or other student information system
  • Experience with an application management system
  • Accuracy and attention to detail in a busy office environment
  • Ability to interpret academic policies and procedures
  • Possess excellent verbal and written skills
  • Ability to address and resolve issues or questions
  • Adaptable and flexible
  • Willingness to learn and embrace new technologies and software
