Position Summary:

The Graduate and Doctoral Student Advisor plays a key role in guiding graduate and doctoral students through their academic journey. As the primary advisor for an assigned caseload, this position ensures students are on track to meet degree requirements by providing personalized academic plans, course recommendations, and regular semester outreach. You will support students from admission to graduation by conducting degree audits, assisting with registration, and liaising with faculty and academic programs. Additionally, you will offer insights into academic policies and processes to both faculty and administrators, helping to remove academic barriers and enhance student success.

In this role, you'll contribute to a smooth transition for newly admitted students, working closely with Enrollment Management to align with student yield goals. You will also oversee and facilitate graduate new admit student registration and advising events and will represent the unit at orientation related activities. You will deliver workshops and group advising sessions to support and promote student success.

This position involves close collaboration with faculty advisors, monitoring the progress of doctoral students, and advising them on dissertation-related processes and deadlines. You will manage essential documentation and ensure doctoral students and faculty are informed of key milestones, deadlines, and academic policies.

For +1 accelerated programs, you will support students in their transition from undergraduate to graduate studies, while managing communications and assisting with university-required forms.

The advisor will contribute to student persistence by ensuring accurate, up-to-date resources and information across various platforms, including Canvas sites and student handbooks. You will also assist in creating content for announcements and newsletters to keep students informed about important events, deadlines, and resources. This position ensures that students receive timely, accurate information and support throughout their academic careers, helping to foster a successful and rewarding educational experience.

Essential Functions Include:
  • Deliver high-quality and comprehensive academic advising to all assigned students, supporting their progress and degree completion. Considers all advising related decisions within the scope of policy, processes, and practice.
  • Develop individualized academic plans and course schedules for students, conducting regular semesterly outreach with course recommendations
  • Ensure accurate recordkeeping and tracking of student persistence and progress.
  • Serve as the primary point of contact for doctoral students, offering guidance on dissertation processes, deadlines, and necessary forms.
  • Collaborate with faculty advisors, providing data on student progress and supporting academic decision-making.
  • Organize and execute orientation/new student events, group advising, and student success workshops.
  • Manage graduate student communications platforms and ensure accuracy of resources and information, including student handbooks and Canvas sites.
  • Support the college's accelerated +1 programs and provide advising for +1 accelerated programs, including activities such as recruitment efforts, tracking student progress, and/or organizing information sessions.
  • Conduct audits, noting individual and systemic challenges and successes, and provide tracking data to faculty and administration as needed.
  • Maintain knowledge of Pennsylvania Department of Education policies and testing requirements, as communicated by the Associate Dean of Teacher Preparation and the certification officer.
  • Uphold the college's mission and goals in all advising and administrative functions.

Required Education & Experience:

Relevant Master's degree with at least two years of post-degree professional advising experience in higher education. Closely comparable education and experience may be considered.
