Description
Primary Function:
  • Under general supervision, the Grant Accountant is responsible for reviewing sponsored grant fund budgets, award documentation, award agreements, subaward agreements, and invoicing. Additional responsibilities include developing monthly spending and financial reports for sponsored projects as requested.
Essential Duties and Responsibilities:
  • Evaluates post-award financial systems and procedures and identifies strategies and practices to promote efficiency and workflow including the development and implementation of policies, procedures, and financial reports related to post award financial administration
  • Assists Director of Sponsored Projects with full range of sponsored project administration support services for Principal Investigators.
  • Oversees aspects of post-award management, including fund set up, entering journal entries, cash receipt, reconciliation of fund balances on a monthly basis and expense tracking to ensure compliance with internal, federal, state, industry and foundational policies governing sponsored research.
  • Approves requests for reimbursement, purchase/service orders, travel requests, and travel vouchers.
  • Reviews pre-award budgets and justifications for accuracy and allowability of costs.
  • Monitors grant expenses, ensuring allowability and adequacy of documentation.
  • Prepares expenditure reports, invoices and other financial documentation according to sponsor guidance, donor specifications and internal policies.
  • Maintains award records and documentation such as receipt and contract correspondences, subcontract information, expense reports, clinical trial billing, invoices and other documents relating to sponsored projects.
  • Ensures compliance with all federal and state regulations pertaining to sponsored programs administration.
  • Makes prudent, consistent, and independent judgments and decisions regarding compliance with institutional policy as well as federal and state regulations governing post award grants and contracts.
  • Ensures Hospital compliance with effort reporting procedures in support of personnel compensation on sponsored projects
  • Reviews and processes vendor invoices for billing and payment.
  • Ensures accuracy of submitted effort certifications and confirms that grant funded employees complete required effort reporting in a timely manner.
  • Assists Principal Investigators with budget transfers and requests for extensions.
  • Maintains and updates grant database for reporting purposes.
  • Conducts yearly inventory of equipment purchased for grant purposes.
  • Assists Director of Sponsored Projects during annual audits and in the preparation of SEFA.
  • Assists with collection or analysis of financial data as required for audit requests, special report request, proposal development, etc.
  • Upholds the confidentiality of proprietary information and takes all necessary precautions to prevent unauthorized disclosure of sensitive materials.
  • Formulates and maintains effective working relationships with peers, vendors and management and functions as an effective team member.

    Qualifications

    Educational requirements:
    • Bachelor's Degree in Accounting or related field such as Business Administration, Auditing, or Financial Management
    Licensure:
    • Certified Financial Research Administrator (CFRA) Preferred
    Experience:
    • 3+ years of demonstrated experience in accounting, auditing, budgeting, grants, or financial management
    • Demonstrated experience in financial research administration and grants management accounting
    • Demonstrated ability to work under pressure, meet deadlines, and process large amounts of information
    • Advanced knowledge of grants and contracts and OMB Uniform Guidance 2 CFR Part 200
    • Advanced knowledge of the laws and regulations that apply to an accounting function and are required to ensure compliance
    • Advanced knowledge in the use of financial software applications, relational databases, spreadsheets, and/or word processing
    • Ability to use various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate, and format data and/or reports
    • Ability to exercise independent judgment in the processing and resolution of non-routine, highly complex accounting matters while assuming responsibility for those decisions
