The University of Virginia Department of Neuroscience within the School of Medicine seeks to hire either a Grants and Contracts Specialist or Administrator, to perform sponsored proposal, award, fiscal, and compliance activities supporting our research mission. This position is able to work remotely one day a week once established. Moving assistance is available if relocating.

Grants and Contracts Administrators perform pre-award, post-award or a combination of grants and contracts job duties in response to specific proposal guidelines or terms and conditions. Grants and Contracts Administrators facilitate the proposal submission and award administration process. They understand sponsor requirements and interpret guidelines for the Principal Investigator. They are responsible for the processing of proposal or award amendments, communicating with sponsor as needed, and serve as the primary contact for internal and external subcontracts and sponsors. They may perform a range of other duties within their organizations, as needed, but are distinguished by their expertise in grants and contracts administration. The position requires strong communication skills as the candidates will be required, throughout the life cycle of the research grants, to work and collaborate with different entities _and personnel within the University, such as, the Office of Grants and Contracts, the School of Medicine, the Office of Sponsored Programs, etc. Job responsibilities require strong organizational and problem-solving skills, attention to detail, and an understanding of research and administrative operations. Strong interpersonal skills are needed for effective communication with all parties. Experience with NIH grant submissions is desired.

Job Responsibilities Include:
  • Manage grant submission process, fill out forms, prepare letters, upload proposal documents into sponsor portals, prepare financial reports per sponsor guidelines, and mail proposal hardcopies.
  • Perform expense reports and prepare and revise grant budgets.
  • Review proposals for conformity with University, State, and Sponsor guidelines.
  • Resolve problems through contact with University administrators or faculty and recommend appropriate changes.
  • Mentor new administrators and provide guidance.
  • Provide technical and administrative assistance to faculty and administrators in regard to sponsor regulations.
  • Conduct direct negotiations on behalf of the University with external sponsoring agencies.
  • Maintain complete and accurate file information.
  • In addition to the above job responsibilities, other duties may be assigned.
Minimum Requirements for Grants and Contracts Specialist:

Education: Associate's degree
Experience: At least two years of grant and contract experience. Two additional years of experience may be accepted in lieu of degree.

Minimum Requirements for Grants and Contracts Administrator:

Education: Bachelor's degree
Experience: At least three years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree.
Licensure: Certified Research Administrator (CRA) certification is preferred.

This is a restricted position; continuation is dependent on funding and satisfactory performance. This is an exempt level, benefited position.
