Responsible for the daily administrative activities and needs for the operation of the maintenance facility.

KEY RESPONSIBILITIES
  • Provides administrative support to management and personnel
  • Greets visitors/guests and directs to the appropriate staff member
  • Daily ADP payroll monitoring including tracking of maintenance employee's attendance (vacation, sick day, etc.)
  • Maintains personnel files and personnel documents with strict confidentiality
  • Provide hiring assistance as needed to include on aspects of on-boarding (drug screens/backgrounds etc.)
  • Prepares correspondence, presentations, email communications, and excel spreadsheets
  • Perform administrative duties to include ordering supplies, bill processing, mail distribution, record keeping, uniform ordering, assisting vendors, distributes correspondence, etc.
  • Responds to telephone and electronic communications
  • Manages vendor files, invoices and labor appropriately, assists management in preparing office meetings and employee functions/activities
  • Prepares/schedules meetings, conference calls etc.
  • Pulls and monitor M5 reports
  • Performs all other duties as assigned

REQUIREMENTS
  • HS diploma required some college preferred
  • 3 years Administrative experience
  • Ability to maintain all types of records with confidentiality
  • ADP payroll experience
  • Proficient utilizing Microsoft Office programs (Outlook, Excel, and Word)
  • Excellent organizational skills including ability to prioritize and coordinate multiple tasks
  • Excellent written and verbal communication skills including professional phone etiquette
  • Excellent interpersonal skills with the ability to effectively interact with internal and external customers and staff at all levels
  • Able to coordinate several projects to a successful completion with little or no supervision
  • Responds promptly to shifts in direction, priorities and schedules
  • Uses sound judgment and problem resolution skills
  • Thinks strategically and is proactive
  • Ability to work in a fast-paced environment
