Manages the day-to-day operations of a large university program or department, including the supervision of staff employees, student workers, programs or processes.
  1. Plans and develops procedures for administering a large or complex department or program.
  2. Manages fiscal activities, including procurement and budget analysis.
  3. Provides guidance to subordinate staff and evaluates performance.
  4. Prepares abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation.
  5. Creates and reviews reports of expenditures and activities.
  6. May administer grants and grant-related related communications, scholarships and other operations.
  7. Develops, implements and maintains appropriate policies and procedures.
  8. May serve as property custodian for the department.
  9. Performs other job-related duties as assigned.

Summary

The Health and Wellbeing (HWB) Administrative Manager is responsible for supporting the work of the Assistant Vice President for Health and Wellbeing along with the Health and Wellbeing Leadership Team (the AVP with the Directors from each of the 6 Health and Wellbeing departments). Responsibilities include supporting scheduling, strategic planning, and coordinated operations for the team's most effective functioning. The incumbent will also assume leadership responsibility for projects and initiatives that further the team's strategic plan. The Administrative Manager will be committed to student success, health and wellbeing, collaboration, and service and will display a high level of flexibility, organizational skills, teamwork, and innovative thinking.

Job Duties

• Team Member Experience

o Coordinate and manage the calendar of the AVP.

o Coordinate and support professional travel arrangements for the AVP.

o Coordinate and manage the HWB Leadership Team calendar.

o Coordinate the ongoing professional development planning and tracking for HWB Leadership team members.

o Manage the scheduling and planning of HWB full team connections, including chairing a committee of representatives from each of the departments planning and implementing the events.

Marketing and Communications

o Manage and support shared Microsoft Teams environments (including connected OneDrives, SharePoints, Planners, calendars, etc.) for the HWB Leadership Team, HWB Full Team, and other related subgroups and committees.

o Support and assist in coordination of the marketing and communications efforts of members of the HWB Team in alignment with the HWB, Division, and Institutional brand.

• Resources

o Support the AVP with processing and management of budget, financial transactions, and reporting.

o Plan and oversee the procurement and management of equipment, supplies, promotional items, and materials to support the HWB Team.

o Collaborate with advancement and other partners in proposal writing and other materials to secure and report on grants, sponsorships, and philanthropic support for HWB.

• Health and Wellbeing Common Agenda

o Support agenda and documentation management for HWB Leadership Team meetings.

o Contribute as a member of the Health and Wellbeing Leadership Team, building a philosophical approach of Be Well Do Well as a foundation for student success.

o Support the common agenda: " Living our authentic selves, individually and in our communities, by Being, Doing, Connecting, Caring, and Learning ".

o Contribute to the development, implementation, assessment, and tracking of the HWB strategic plan.

o Support the exploration and strategy development for enhancing program and operational collaborations across the HWB team and with other stakeholders.

o Support the exploration and strategy development to create more wellbeing at the University of Houston, including supporting the AVP and others in efforts around JED Campus and a Health Promoting University initiative.

• Division, University, Industry

o Support the development and administration of policies and procedures for HWB Team.

o Serve as a member of the Division of Student Affairs, contributing to implementation and assessment of the division's strategic plan and ensuring the HWB team's engagement and alignment.

o Represent HWB Team and cultivate partnerships and collaborations with stakeholders (including students, faculty, staff, and community).

Qualifications

Bachelors and 1 year experience

Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Experience: Requires a minimum of one (1) year of directly job-related experience. Certification/Licensing: None.

Required Qualifications:

• Bachelor's degree from an accredited university or college in a related field.

• Three (3) years or more of job-related experience.

• Demonstrated knowledge and experience in administrative support and coordination of activities for a leadership team.

• Knowledge and experience with technology tools such as Microsoft 365 including Teams, Shared Calendars, SharePoint, Planner, etc.

• Strong communications skills and effectiveness in stakeholder engagement and collaboration.

• Strong organizational skills and innovative thinking.

• Understanding of, and commitment to, student success, health, and wellbeing.

Desired Qualifications:

• Master's degree from an accredited university or college in a related field.

• Five (5) years or more of job-related experience.

• Advanced knowledge and experience with Microsoft 365 including Teams, Shared Calendars, SharePoint, Planner, etc.

• Project management knowledge and experience.

• Strategic planning knowledge and experience.

• Knowledge and experience in student affairs, student development, and student success.

• Broad knowledge of health and wellbeing in higher education.
