Job Duties

The Virginia Retirement System (VRS) is seeking an hourly Recruitment & Onboarding Coordinator to focus on the recruitment and onboarding efforts for the VRS Contact Center.

This position is hourly with no plans to be converted to full-time. Hours of work will be flexible between Monday through Friday at 29 hours a week. Training will require 3 days in office for the first three weeks.

Primary tasks include the support and coordination of recruitment and onboarding of newly hired employees, HR administrative tasks, records management and assisting with HR related projects and initiatives.

Contact Center Recruitment and Onboarding
  • Develops an understanding of contact center recruitment needs.
  • Supports the full cycle recruitment process to include recruitment and selection, preparing job announcements, screening employment applications, selecting qualified candidates for interviews, and scheduling and conducting interviews (in-person and virtual).
  • Monitors the effectiveness of recruitment efforts and makes recommendations for process improvement.
  • Engages in diversity sourcing strategies and proposes ideas to nurture candidate pipelines.
  • Interacts with candidates daily by crafting and sending emails and answering phone calls related to active job announcements.
  • Coordinates recruitment onboarding activities by initiating and monitoring the progress of criminal background checks, reference checks, assessments as applicable and required new hire trainings.
  • Utilizes HR systems and related databases as needed for data entry of new hire paperwork. Enters data according to required timelines with accuracy.
  • Follows-up with new hires to ensure all on-boarding paperwork and activities are completed timely to ensure employment begins on agreed start date.
  • Provides updates on recruitment progress and analytics.
    Coordinates the employees first day with hiring managers and other stakeholders.
  • Assists with recruiting events and special projects such as career fairs, open houses, seasonal hiring, etc.
HR Administrative Tasks
  • Provides support to other HR team members as needed.
  • Attends HR Team and Contact Center Team meetings.
  • Assists with employee and contractor ID badging.
  • Acts as back-up to the Human Resources Specialist.
  • Completes special projects as required.

Minimum Qualifications

Highschool Diploma or equivalent.

Bachelor's degree in a related field (business, human resources, etc.) or one (1) year of experience in Human Resources or completed college coursework in Human Resources fundamentals.
  • Proficiency in the use of Microsoft Outlook, Word, and Excel.
  • Strong customer service skills.
  • Ability to take initiative and work independently with minimal supervision.
  • Ability to communicate ideas both verbally and in writing and strong listening skills.
  • Ability to build and maintain strong relationships.
  • Ability to adapt and work effectively in a fast-paced environment with changing priorities and working with multiple customers/issues.
  • Ability to use human resource related applications such as application tracking systems.
  • Ability to exercise judgement and maintain a high level of confidentiality.
  • Effective time management skills.
Preferred Qualifications
  • HR Certifications (SHRM or HRCI)
  • Previous HR experience with knowledge of hiring principles, laws and procedures.
  • Experience with using applicant tracking systems and other HR related systems.

This position has a hybrid work schedule. The selected candidate will work two days on-site (Tuesday and Wednesday) and three days remote (Monday, Thursday and Friday). The selected candidate must be able to work on-site any day as required by the manager.
