Position Description

The HR Administrator is responsible for providing strong administrative support to the Chief Human Resources Officer, and other senior leaders as requested. Acting as a trusted point of contact, this position manages calendars, coordinates internal and external meetings, manages travel plans & associated expenses, creates key email communications, memos, and presentations, and supports critical projects and initiatives. This individual must explicitly and implicitly manage confidential information with the utmost care and will be involved in coordinating and managing highly sensitive business issues.

A successful candidate is a strong communicator, detail-oriented, with the ability to problem solve, make judgment calls and moves quickly. Prior experience as an executive assistant in a fluid, fast-paced environment is a key with an understanding of HR to assist with other projects on the HR team.

This role will be located in Chicago with the understanding this position will move to Atlanta area in 2026.

Primary Responsibilities
  • Provide organizational and administrative support to CHRO, including correspondence, phone screening, filing, corporate organization, travel arrangements, expense tracking and processing, and maintaining calendars.
  • Remain highly organized with a very customer centric and friendly demeanor
  • Establish strong working relationships with executive leadership and other stakeholders throughout the organization.
  • Understand the ebbs and flows of business to anticipate the executive's needs, and leverages process management skills to prioritize according to evolving business needs.
  • Demonstrates confidentiality while managing leaders' communications and implements appropriate safeguards when sharing sensitive information.
  • Coordinates speaking engagements and creates any necessary presentation materials.
  • Assists other members of the senior executive leadership team as needed.
  • Helps in coordination of recruiting and the new hire processes.


Qualifications
  • 5-7 years experience supporting a CHRO or senior executive(s) in an organization.
  • HRIS and LMS (Learning Management System) experience a must.
  • Demonstrated ability to maintain confidentiality.
  • Demonstrated fluency on Microsoft Word, Outlook, Excel and Power Point.
  • Demonstrated communication and writing skills.
  • Ability to work non-standard hours, including nights, weekends and occasional travel for annual meetings
  • Fast, responsive, and able to work flexibly across multiple time zones
  • Strong organization skills, with the ability to prioritize and balance multiple projects, and switch easily between tasks
  • Independent worker, with strong judgment and ability to problem solve and make decisions quickly
